Position Purpose:
Reporting to the Manager of Strategic Initiatives and Belonging, this position provides administrative and technical support to the Howard Gilman Executive Director as well as the Senior Development Manager and Manager of Strategic Initiatives and Belonging.

Required Qualifications:
- Bachelor's degree or the equivalent in education and experience.

- Excellent interpersonal skills and ability to deal articulately with a diverse range of people.

- Strong organizational skills and ability to balance priorities and meet deadlines.

- Initiative, sound judgment and ability to work independently.

- Strong writing, detail editing and proofreading skills.

- Technologically savvy in the use of computers, applications, databases, tablets and smartphones.

- Commitment to diversity and to serving the needs of a diverse population.

- Adept at handling confidential information with excellent judgment and discretion.

- Willingness to utilize all forms of communication to ensure efficiency and expediency.

- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams), Adobe Acrobat, Zoom and cloud-based applications.

- Flexible, creative, self-motivated and willing to work extended hours on occasion.

Preferred Qualifications:
- Keen interest in the arts strongly preferred.

- Experience with software platforms Airtable, Advance, Tessitura, Slack and/or Asana.

- Comfortable navigating Apple and PC platforms.

Key Accountabilities

Key Accountabilities:
Coordination and Administrative Management 50%

Administrative support of the implementation of initiatives, projects, and events that may include logistic planning and execution. May manage, track and/or coordinate calendars, deadlines, pending items; communicating with appropriate stakeholders to ensure consistent and efficient workflow and completion of tasks in a timely manner. May include data entry and management.

Executive Administrative Support 50%

The Administrative Coordinator provides regular support for the Executive Director as it relates to scheduling and daily itineraries. Supports meeting and event organizing including logistics, communication, preparation and distribution of relevant documents. Duties may include planning and organizing of special events; preparing correspondence, lists and other administrative support related tasks. Provides a bridge for smooth communication between the Executive Director and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.

Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
Performs other duties as assigned.
