Position Overview

AUNE seeks a full-time Administrative Coordinator to provide clerical and administrative support to the Education Department at AUNE, including faculty, staff, and students. The position reports to the departmental Administrative Director. The Administrative Coordinator independently holds primary responsibilities in the work arenas of adjunct contracts and pay; expenses tracking and processing; student forms and syllabi tracking and submission; and coordination of Waldorf residencies.

Most job duties are able to be performed remotely. June and July are particularly busy work months requiring more face-to-face work; there are several weekends during the academic year where administrative on-site preparations are needed and administrative presence is preferred.

Success in this position requires the ability to manage shifting priorities in response to needs of the department and the cyclical nature of the academic calendar year. The position requires superior organizational and interpersonal skills; strong communication abilities; ability to proactively and independently structure work time; ability to collaborate with faculty, staff, and other departments, and be a creative problem-solver.

Essential Job Functions
  • Coordinate Adjunct Payroll
    • Coordinate contracts arrangements a semester ahead, including pay calculations.
    • Track special circumstances and submit appropriate paperwork.
  • Track and Process Expenses
    • Complete and submit proper forms for payments, reimbursements, and invoices.
    • Provide financial data/budget projections as needed upon request from department chair.
    • Purchase and order supplies for department; assist with travel arrangements.
  • Track and Process Student Forms and Faculty Syllabi
    • Assist with maintaining trusted departmental student and course tracking systems; handle Google form intake for prospective Waldorf students.
    • Work with Master's Project students and faculty to maintain submission protocols.
    • Track syllabi using departmental system to ensure all syllabi are posted in accordance with university protocol.
  • Coordinate Waldorf Residencies
    • Act as primary point of contact for Waldorf off-site residencies.
    • Work with Waldorf Program Director and Administrative Director to finalize and document student and faculty schedules, student orientation materials, and welcome materials.
    • Work with host facility to coordinate faculty meals and meal payments (summer residency).
    • Maintain office and communication with faculty for on-site needs (summer residency).
    • Determine supplies needs and coordinate transport/delivery to host facility.
    • Liaise as needed with Disability Support Services.
  • Nature-based Program Support
    • Complete and submit proper forms for Storer grant payments, reimbursements, and invoices related to grant activities.
    • Provide Storer grant budget, financial and expense data as needed upon request from the program director or department chair.
    • Assist program director with organizing and maintaining Storer grant electronic files.
  • Departmental Support
    • Contribute to a positive, professional, friendly, cooperative departmental working environment and front-facing manner.
    • Help maintain digital channels of communication including program-specific sites and the department newsletter.
    • Help manage department archives and other department-specific systems.
    • Help provide general office support; help carry out regular department housekeeping.
    • Work with School of Education bookstore coordinator to keep department bookstore offerings up to date.
  • Perform other duties as assigned

Minimum Requirements
  • Three years of related experience and willingness to learn new skills
  • Strong verbal and written communication, time management, and organizational skills
  • Demonstrated attention to detail
  • Technical proficiency using Microsoft Office suite, Google tools, and databases; and ability to adapt to new software and programs
  • Bachelor's Degree preferred
  • Experience with learning management systems and video conferencing preferred

  • Hours of Employment
    This is a full-time position serving a national university. A work schedule will be established in consultation with the supervisor.
