The salary range for this position is $74,000 and will depend on qualifications and experience.

The Administrative Manager, in the College of Education and Human Service Professions (CEHSP), is a key advisor to the Dean on financial, operational, and strategic matters. They lead, facilitate, coordinate and monitor specific strategic initiatives that advance the mission of the college and the UMD campus. They serve as the liaison between the college and other service units (HR, Finance, etc.). They provide oversight of college and departmental budgets in collaboration with the Dean, other college leadership and staff. In collaboration with the Dean and collegiate colleagues, the Administrative Manager assists with the development, interpretation, and implementation of college policies.

The following duties are typical for this position:
  • Strategic Collaboration and Planning (25%):
    Act as a trusted advisor to the Dean on financial, operational, and strategic matters. Work effectively with faculty and staff to understand and address their needs. Lead and facilitate specific administrative initiatives that advance the college's mission and/or operations and align with broader University strategic plans and/or areas of focus. This requires identifying the goals of engagement, building relationships within and outside of the institution to help meet those goals, creating the appropriate (infra)structures to accomplish those goals, and leading the process for success.
  • Collegiate Operations (25%):
    Serve as a liaison with all collegiate leaders and staff and between the college and other service units (HR, Finance, etc.) on campus and within the University of Minnesota system. Serve as a key communicator for the college, often acting as first point of contact for requests/communication on operational issues from external and internal people, supervises the college communication specialist. Serve as primary administrative contact if Dean/Associate Dean are unavailable. Represent college on UMD-wide committees. Develop relationships/connections to advance collegiate mission. Oversee collegiate portion of promotion and tenure process. Coordinate logistics and programming for college meetings and events. Meet regularly with senior leadership and team leads to assure the collegiate administrative operations are running efficiently and are effectively meeting the needs of all constituents. Supervise staff across various collegiate and departmental functions. Ensure efficient day-to-day operations and business needs are met by coordinating workflows among the staff. Provide direct supervision to and leadership for the Dean's Office staff, including team administrative office staff and work study students.
  • Project Management (20%):
    Serve as project manager and coordinator for key collegiate strategic initiatives. Monitor and summarize progress on the strategic plan as well as on key initiatives in the college-wide strategic plan. Assist with accreditation, assessment, and compliance efforts. Works with the collegiate leadership to advance initiatives for student success and faculty achievement. Provide executive support to collegiate advisory boards and select committees.
  • Resource Stewardship (15%):
    Provide oversight of college and departmental budgets in collaboration with the Dean, and other college leadership and lead accountant. Serve as the primary referral point to finance and HR for the college. Analyze financial data and generate reports to identify trends and forecast future needs. Look for efficiencies/optimization of unit resources to advance mission and culture (including DEI efforts). Manage procurement and usage of furniture and equipment in alignment with budgets and college/university policies and procedures. Collaborate with facilities to oversee complex building renovations, office and building moves, offsite storage, key control, and facilities.
  • Policy Development and Alignment (15%):
    In collaboration with the dean and collegiate colleagues, assist with the development, interpretation, and implementation of college policies. Coordinate and share institutional knowledge (i.e., university/college policies and procedures, resources, collective bargaining agreements, campus/college operations) and administrative expertise to college and department/program faculty and staff.


Qualifications

REQUIRED QUALIFICATIONS
  • BA/BS degree with at least 6 years of experience
  • Experience with financial planning or budget management.
  • Exceptional interpersonal skills and the ability to build strong relationships with colleagues across the organization..
  • Commitment to advancing the inclusiveness and diversity of their organization.

PREFERRED QUALIFICATIONS
  • Master's degree in Business Administration (MBA), Public Administration (MPA), or related field (highly preferred).
  • Experience working in a higher education setting (highly preferred).
  • Strong analytical and problem-solving skills.
  • Demonstrated proficiency in strategic analysis
  • Demonstrated ability to identify and resolve complex problems proactively.
  • Demonstrated ability to organize and direct multiple projects and interrelated financial activities with major operational or funding impact.
  • Demonstrated ability to anticipate the unit's business needs, develop and analyze alternatives, and make recommendations to stakeholders regarding budgets and sponsored projects.
  • Ability to constructively communicate complex financial data and issues to a non-financial audience
  • Experience advancing equity initiatives within their organization. Experience supervising staff.
  • Proven track record of successfully managing budgets
  • Experience with financial reporting tools and software (e.g., Banner, PeopleSoft).
  • Proven track record of achieving financial goals for large projects typical of collegiate operations, e.g., large center grants.
  • Knowledge of human resource management principles and practices.
  • Experience with project management methodologies.
  • Strong leadership skills with the ability to motivate and inspire staff.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.


About the Department

The College of Education and Human Service Professions (CEHSP) promotes research and practice in the educational, social and human sciences. We are home to five academic departments: Applied Human Sciences, Communication Sciences & Disorders, Education, Psychology, and Social Work. We have 19 undergraduate majors and 5 masters-level graduate programs. Over a dozen majors are separately accredited or lead to professional licensures.
