Job Description:

Virginia Western Community College is a two-year public institution of higher education operating under the Virginia Community College System, a statewide system of community colleges. The College operates under the policies established by the State Board for Community Colleges and the Virginia Western Community College Local Advisory Board.

Virginia Western is located on a 70-acre campus in southwest Roanoke, VA. The service region of the College includes Roanoke, Salem, Roanoke County, Craig County, Franklin County, and southern Botetourt County. The College was established in 1966 and has grown from an initial enrollment of 1,352 to its current annual enrollment of over 9,000 students in credit courses and more than 1,400
enrollments in fast-track workforce and continuing education courses.

Virginia Western Community College is accepting applications for a full-time Administrative Services Specialist. This position provides administrative support for the Workforce Solutions department, which develops and provides high-quality continuing education, customized industry-specific classes, workforce skills enhancement classes, as well as certification and credentialing programs within the College service region.
This position provides operational and administrative support for Workforce Solutions programs and initiatives, supporting Operations Manager, Dean of STEM and Workforce Solutions, Programs Team, and Corporate Training.

Minimum Qualifications:

Experience in an administrative support and/or office management position supporting multiple leaders or departments in a fast-paced working environment. Extensive knowledge of office procedures, terminology, and equipment. Proficiency in managing complex filing systems. Ability to create and maintain clear, effective standard operating procedures. Experience using computer operating systems and software such as Microsoft Office and PeopleSoft SIS. Ability to learn and efficiently use Workforce Enterprise System (WES) and PeopleSoft learning management systems. Experience generating and analyzing reports. Excellent verbal and written communication abilities. Strong interpersonal skills for interacting with faculty, students, business clients, and the public. Ability to explain and interpret college policies and procedures effectively. Analytical skills to assess situations and resolve issues independently. Ability to contribute to team decision-making processes. Competency in budgeting, resource allocation, and fiscal reporting. Understanding of basic financial management principles. Ability to implement and promote professional development activities. Strong commitment to excellent customer service and ability to handle challenging customer service situations professionally. High level of confidentiality and discretion. Reliable, punctual, positive attitude and team player.
Preferred Qualifications:

Knowledge of community college functions preferred, including operations and services of the division of Workforce Development Services; and of rules, regulations and policies governing the division and the College; and of scheduling programs and classes. Experience interpreting,applying and explaining administrative policies and procedures. Experience working with OR ability to learn and perform tasks accurately using the Workforce Enterprise System and PeopleSoft. Ability to regularly run WES and PeopleSoft reports to be submit to department and college staff as appropriate.
