Job Description:

The position is responsible for providing administrative and fiscal support for the Director of Student Success as well as faculty and staff in the unit. This includes setting priorities, delegating tasks, and supervising office functions to ensure smooth operations. You will UF Student Success personnel by coordinating travel, organizing the Director's calendar, and managing appointments that affect all members of the Student Success Team. As the primary unit liaison, you will assist in resolving issues as they arise and sharing information within the unit, guiding on databases, reporting methods, and protocols.

In terms of financial and HR management, you will oversee the processing of financial and HR data, approving transactions where necessary. You will be directly responsible for all fiscal activities in the unit, including p-card purchases, travel arrangements, reimbursements, purchase orders, and monthly reconciliation. Safeguarding confidential data is a crucial part of this role, ensuring privacy and compliance with relevant policies.

You will manage office necessities, including supplies, mail distribution, equipment maintenance, and security protocols. Additionally, you will draft reports, presentations, and materials for various occasions, plan events, and handle special administrative tasks. The role may also involve supervising, training, and evaluating other staff members to ensure they meet unit standards and goals. Keeping track of budgets and engaging in grant-related duties are also part of the responsibilities.

Expected Salary:

$46,000 - $56,000 annually; commensurate with education and experience.

Minimum Requirements:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Be well organized and detail-oriented, with an eye for accuracy and quality.
  • Familiarity with UFGO and similar UF systems.
  • Have the ability to exercise good judgment, prioritize with minimal supervision, and take responsibility for complex tasks.
  • Proficiency in Word, Excel, PowerPoint, Outlook Email and Internet.
  • Familiarity with Teams and Zoom.
  • Ability to establish and maintain effective working relationships.
  • Ability to communicate effectively both verbally and in writing.
  • Prior UF PCard experience and/or training.
