The Facilities Management Services Division at Georgia State University is seeking to hire an Administrative Specialist (Temp).

WHAT WILL YOU DO:

This position provides professional financial support for the renovation unit, including budget reconciliation and cost journaling.

DUTIES AND RESPONSIBILITIES INCLUDE:

  • Prepares and issues reports as assigned.
  • Reconciles account activity associated with capital renovation and new construction projects.
  • Resolves discrepancies found in accounting records. Responsible for the oversight of the project log including updates to funding changes, change order requests, p-card transactions, and completion statuses for all FMRs (capital and non-capital projects). Upon completion of the project, reconciles activity and posts expenses/project costs to the Client's account. Prepares and issues notifications to the client regarding the status of the billings on non-capital projects.
  • Verifies the availability of funds for purchases and payments. Monitors the fund code and classification codes assigned to ensure that the project's speedtype (capital projects only) is charged properly and not overspent. Ensures that the category and account codes assigned are accurate for the type of purchase being made. Monitors compliance with University policies and procedures. Acts as a backup in the absence of other Administrative Specialist.
  • Enters requisitions in PantherMart, reviewing and processing invoice payments.
  • Participates in Year-End activities and reconciliation.
  • Running errands on and off campus, acting as a backup for the front desk operations, filing project documents, etc.
  • Serves as customer service representative by providing general information regarding policies and procedures, researching and responding to inquiries about the status of budgets, project activity, etc.
  • Performs other assigned duties.

Qualifications:

Bachelor's degree and two years administrative experience, or a high school diploma or GED and six years administrative experience, or a combination of education and related experience.
