Pay Range

$35.98 - $43.67 Hourly

Job Description

We have an opening for an Administrative Specialist to support our Nondestructive Evaluation groups. Under limited supervision, you will perform a full range of complex administrative assignments in a dynamic and fast paced environment with critical deadlines, frequent interruptions, and conflicting priorities. This position is in the Materials Engineering Division (MED) within the Engineering Directorate.

You will
  • Represent management in daily matters to gather, clarify, and disseminate information and coordinate activities; respond on their behalf to administrative matters to all levels of management.
  • Manage complex calendars; independently determine scheduling priorities, committing and managing time, and coordinating and scheduling of multiple attendees.
  • Coordinate, select, and compile data from various sources, and prepare complex reports and presentations.
  • Collaborate with division office in support of hiring, onboarding, and off-boarding processes for NDE internal and external hires.
  • Screen telephone calls, independently answer inquiries, make appropriate referrals, follow through on requests; review, prioritize and disseminate incoming mail.
  • Coordinate external visits, including verification of security clearances, preparation of agenda, badging, and information dissemination.
  • Generate correspondence and compose administrative material of a sensitive nature for signature.
  • Interpret policies and procedures, formulate recommendations, and establish procedures for the functional work unit. Establish and maintain databases, spreadsheets, and tracking/filing systems.
  • Arrange travel and itineraries.
  • Perform other duties as assigned.

Qualifications
  • Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Administrative knowledge and experience including accurate keyboarding, editing, grammar, and proofreading skills; advanced knowledge of office procedures, techniques, and methods.
  • Excellent organizational skills with experience working under limited supervision, prioritizing multiple tasks with frequent interruptions and critical deadlines, while showing flexibility, attention to detail, discretion, tact, and accuracy.
  • Excellent interpersonal and communication skills, mature judgment, professionalism, and discretion, necessary to interact effectively with a diverse workforce and represent the directorate.
  • Effective problem-solving and decision-making skills necessary to anticipate, identify, and independently recommend appropriate actions and solutions to moderately difficult administrative problems.
  • Proven ability to be self-motivated and flexible with the ability to set priorities and goals.
  • Advanced customer service skills and advanced written and verbal communication skills to interact effectively with all levels of personnel in a scientific environment.
  • Ability to be self-motivated and flexible, exercising a high degree of discretion and mature judgment in handling complex business sensitive and classified information, as well as personnel interactions.
  • Advanced computer skills and experience with programs such as Microsoft Word, Excel, PowerPoint, Outlook, Entrust, Adobe Acrobat, and the ability to learn new software quickly.
  • Experience arranging domestic and/or foreign travel.
  • Experience working effectively as a team member, as well as independently.

Qualifications We Desire
  • Experience working in a classified environment.
  • Familiarity with LLNL Policies and Procedures.
  • Knowledge of LLNL business applications and processes such as LAPIS, LEAP, LHIRE, LTRAIN, TIME, FTS, VTS and ePay.
