Department Summary

The Office of the Registrar provides support services to our campus community, including the development and maintenance of the academic calendar, university catalog, course scheduling, registration, grade submission, transcripts, degree audits and verification, graduation and commencement, veteran benefit certification, athletic certification, reporting, and maintenance of student records.

Position Overview

Under the general direction of the Registrar, the Associate Registrar will be responsible for the oversight of the day-to-day operations ensuring the continuity and improvement of the processes inherent to the Registrar's Office. Hire, assign duties, supervise, develop, and evaluate staff under the Registrar's leadership. Oversee specialized functions of the National Student Clearinghouse reporting, academic standing, academic calendar systematic updates and publication, PeopleSoft security access to student records for end users, manage Coursedog modules, athletic certification, and end-of-term procedures. Additionally, this role will oversee all staff, with the exception of the Assistant Director, Registrar who reports to the University Registrar, and support daily processes and serve as a complement to the University Registrar. Specifically, this position will support catalog preparation, course/room scheduling, residency, reporting, student veteran benefits certification, compliance, and operations related to maintaining the integrity of the student record. This role will work with the Assistant Director, Registrar on other functionality within the office such as, registration, degree audit, graduation processing, and transcripts to help improve day-to-day procedures and/or serve as a backup, if needed. This position will assist with coordinating procurement and payment activities for basic office resources and Commencement expenditures. Serve on campus committees to advise on special projects and Registrar's Office support for campus stakeholders as assigned by the Registrar.

Minimum Qualifications
  • Bachelor's Degree in related field and five (5) years of professional related experience in academic administration or related field; or any equivalent combination of education, training, and experience.

Job Duties:
  • Management and oversight of multiple functional areas within the Registrar's Office.
  • Provide supervision and guidance with continuous improvement of operations related to core areas of responsibility.
  • Handle, coordinate, and ensure continuity of specific operations, procedures, and policies, ensuring accuracy and compliance with all regulations related to areas of responsibility.
  • Manages day-to-day operations of assigned areas within the Registrar's Office, working directly with staff to set goals, create action plans to realize efficiencies and to provide quality service. Serve as functional liaison with Registrar to provide ongoing training to staff and resolve functional and/or training issues.
  • Actively contribute to the Office of the Registrar efforts to promote productivity, collaboration, and coordination within and between all sections of the office. Support ongoing system implementation and database management.
  • Functions as an escalation point for more complex issues, including handling complaints, exceptions, and appeals processing.
  • Responsible for the hiring and oversight of staff in assigned areas, including hiring, training, evaluation, coaching, and professional development of professional and supervisor level staff.
  • Be attentive to operational efficiency and effectiveness for assigned areas of responsibility, including ensuring documentation of core processes, monitoring compliance and risk management, and monitoring ongoing effectiveness of specific functional operations to recommend and lead organizational and procedural changes, while providing documentation and training to the campus community.
  • Process National Student Clearinghouse reporting, academic standing, academic calendar system updates and publication, PeopleSoft security access to student records for end users, manage Coursedog modules, end-of-term procedures, and athletic certifications.
  • Supports and promotes operating practices and standards including project management plans, staff development programs, and staff recognition.
  • Plans sufficiently for staff coverage of unit duties for leave requests with Registrar.
  • Advises students, parents, faculty, and staff about office and university regulations.
  • Ensure operations comply with federal, state, and institutional legislation.
  • Oversee validation and correction of data. Assist in the development and maintenance of appropriate data standards and process data requests.
  • Work closely with others, such as Information Technology, Strategic Analysis and Reporting, and others across the university on data and systems matters related to registration, scheduling, timetabling, grading, student records, transcripts, data integrity, and operational reporting.
  • Safeguarding the integrity of student records data and work to ensure necessary quality assurance measures are identified, established, and maintained.
  • Participate as a member of the Registrar's staff commencement exercises and other key university events.
  • Serves the campus as the liaison for the Registrar's Office and on other campus committees as assigned.
  • Ensures and facilitates procurement and payment for basic office resources and commencement expenditures.
  • Assume authority of the Registrar in the Registrar's absence.
  • Performing other duties and responsibilities as assigned.
