Responsibilities:

Provides a variety of specialized services and support that includes, benefits enrollment, new employee benefits orientation, life insurance, and 403(b), 457(b) and 457(f) retirement plans. Assists in administering workers compensation reporting and claims review. Will work closely with the department Director on managing the health and welfare plans. Manages data and tasks within online enrollment systems. Answers employee inquiries regarding benefit programs and maintains a positive relationship with University of Alabama Health Services Foundation (UAHSF) and UAB Health System (UABHS) employees and leaders. Manages Educational Assistance for UABHS employees. Consults with manager/director on special issues.

1. Orients new employees to UAHSF and UAB Health System benefits and manages enrollment requests, life event changes and EOI updates in the benefit enrollment system:

• Presents comprehensive information to employees on all UAHSF and UABHS benefit plans.

• Revises orientation presentation/materials as necessary when benefit changes occur.

• Prepares, maintains and shares instructions on using the online enrollment systems for retirement and insurance plans.

• Reviews and approves new hire elections in the benefit enrollment system.

• Reviews and approves dependent documentation for those being added to benefit plans.

• Manages employee life events, communicating effectively with employees and managing the online enrollment process.

• Works with vendors as necessary to resolve any enrollment issues or coverage questions.

2. Actively manages the annual open enrollment process and employee benefits fairs:

• Works with enrollment vendor to ensure plans for the upcoming year are set up correctly.

• Completes testing in the enrollment system to ensure it is working properly.

• Answers employee questions and assists those with system issues.

• Leads an HR team in planning the annual employee benefits fairs.

• Communicates regularly with vendors regarding employee benefits fairs and coordinates payments for those sponsoring items for the fairs.

• Assists with visiting off-site clinics during open enrollment to answer questions.

• Reviews data post-enrollment and follows up with employees as necessary on any questions or missing information.

3. Administers health and welfare plans, including payment of health, dental, vision, pharmacy claims, workers compensation and the application process for stop-loss and claims:

• Ensures receipt of weekly claims data from health, dental and pharmacy vendors and make proper payment.

• Recognizes unusual data and keeps Director informed.

• Submits appropriate paperwork, as requested, to stop-loss carrier for claims processing so that reimbursement can be made to the company.

• Coordinates workers comp reporting and assists in the claims tracking process.

• Submits weekly payment requests for payment of benefit invoices.

• Assists with planning for upcoming plan years and evaluating vendor proposals.

4. Effectively assists with 403(b), 457(b) and 457(f) transactions for UABHS and UAHSF plans:

• May follow up on forms requiring additional information.

• Submits loan paperwork and distribution requests for processing.

• Works with vendors and employees on on-line enrollment and changes.

• Assists with entering changes and approved loan information into the HRIS system.

• Assists with making deduction updates each month for payroll.

5. Manages educational assistance process for UABHS employees:

• Collects registration forms from employees who plan utilize educational assistance at UAB, whether for the employee or their family member.

• Collects student transcripts at the end of each semester and of determines employee eligibility for assistance in the future; notifies UAB Student Accounting as appropriate each semester.

• Processes payments to UAB for educational assistance.

• Reviews, calculates, and processes reimbursement requests for qualified UAHSF employees who attend schools other than UAB.

• Determines if educational assistance is a taxable event per IRS guidelines and processes accordingly.

• Maintains records related to annual maximums where applicable.

6. Assures company compliance with provisions of Employee Retirement Income Security Act:

• Supervises preparation of reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies.

• Reviews and analyzes changes to state and federal laws pertaining to benefits and reports necessary or suggested changes to management.

• Coordinates company benefits with government sponsored programs.

7. Coordinates notification to employees who change employment status:

• Monitors employee status changes to determine employees whose change will result in, resulting in an increase or decrease in benefit eligibility.

• Sends appropriate notification/forms/materials to each affected employee in a timely manner.

• Ensure documents/packets contain up-to-date materials.

8. Assists with life insurance claims and monthly billing:

• Communicates with beneficiaries and ensures appropriate paperwork is completed and submitted to life insurance carrier.

• Submits monthly invoice for payment to the vendors.

• Monitors claims to ensure timely processing by life insurance carrier.

9. Installs approved new plans and changes:

• Prepares announcement material, booklets and other media for communication new plans or modifications to employees.

• Conducts employee meetings and arranges for enrollment of employees.

• Revises and reissues benefit materials to employees on an as needed basis.

• Maintains enrollment websites as needed throughout the year.

10. Other duties as assigned.

Qualifications

Required:

Bachelor's degree in Human Resources Management, Business Administration, or a related field; five (5) years of experience in Human Resources, including experience in Benefits Administration.

Preferred:

Experience negotiating with vendors, analyzing/interpreting plan documents, and experience in a health care setting.
