Job Description
Position Summary:
• Position currently supports multiple departments including Risk and Insurance Management, Records and Information Management, Procurement, Real Estate, Management Services and other departments as needed.
• Duties will include a variety of financial transactions and reconciliations on a daily, weekly, monthly and annual basis including items such as processing payments for invoices, one card reconciliations, reconciling unclaimed wire transfers, monthly budget reconciliations, and monthly mineral rights reconciliations.
• Order and stock supplies for multiple departments.
• Assist Records and Information Management with the Annual Destruction Process and weekly audits of transmittal forms. This includes creating customers inventories and updating customer contact information.
• Research and respond to Medical Malpractice inquiries and letters daily.
• Process delegated forms, surplus property, and unclaimed property.
• Update property acquisitions in data bases and other real estate records inventory as indicated
• General administrative and organizational tasks including making travel arrangements.
• Other duties as assigned.
Business Support Specialist's Duties:
Records Management Duties: 10% Time Allocation
• Daily/Weekly:
One Card reconciliation
Process payments/invoices for records management and records center
Order supplies for LeMone Boulevard
Stock supply room and break room
Audit and file all transmittal forms
• Monthly:
Run Account totals after month-end closing/update spreadsheets
• Annual:
December/January/February/March - Annual Destruction Process
September - Recycling Data Report
Pay Digital Reel License fees and charge back to campus
• As Needed:
General administrative and organizational tasks
Print barcode labels for warehouse
Make travel arrangements
Correct/update customer information in Total Recall
Run inventory lists
Send items to Surplus Property
Review Web Site for broken links/Proofing
Order records center boxes for customers from distributor
Risk & Insurance Management Duties: 40% Time Allocation
• Daily/Weekly:
Medical Malpractice Letter research, compile responses (currently averaging 35/week)
Order Supplies as needed
• Quarterly:
Unclaimed Property - request statement from the State and process
• As Needed:
Delegated Forms (Michelle Moyer - OGC)
Real Estate and Treasury Department Duties: 40% Time Allocation
• Daily/Weekly:
Order Supplies, as needed
Check Unclaimed wires list on Fridays to claim mineral rights/MRP CAM payments
Update Database with acquisitions/sales, file required documents into permanent files
Review/Scan Real Estate
Mineral Rights - send any checks, invoices, tax bills, etc. to Farmers National
• Monthly:
Pay Research Park Utilities (MRP/DRRP)
Pay other invoices for the Research Parks - Loyet, Benson Electric, Etc.
Mineral Rights - Reconcile monthly report/deposit from Farmers National (transfer income to respective campus accounts)
Pay CoStar Monthly invoice
• Quarterly:
MRP CAM Billing
• Annual:
Mineral Rights Report to Auditors
Procurement Duties: 5% Allocation
• Daily/Weekly:
Serve as receptionist when not remote including mail distribution
Order Supplies, as needed
Additional: 5% Allocation
• Daily/Weekly:
Order supplies for All of University Hall, Old Alumni Center, and VP of Finance office
Maintain the Federal Express Account and Enterprise Account.
Shift
Monday through Friday, 7:30 to 4:30 with potential hybrid work option 2 or 3 days a week
Minimum Qualifications
High School Diploma or an equivalent combination of education and experience from which comparable knowledge and skills can be acquired is necessary
Anticipated Hiring Range
Salary Range: $17.00 - $23.00 per hour
