This position is essential for supporting multiple workstreams associated with our Central Document Management (CDM) teams. The ideal candidate will work closely with other members of the CDM team, as well as with Network Enablement and other staff or departments related to the document management workstreams supported by CDM.

Responsibilities of the role include CDM intake management, providing support for documentation indexing, retention, and various data entry tasks. Patient Records Request and internal audit workflows as assigned/appropriate. The candidate must also access relevant patient information and will be responsible for supporting electronic packets for outgoing mail tasks as assigned/appropriate to CDM workflows and assist with sorting and processing incoming mail to ensure timely distribution across departments while maintaining organizational efficiency.

This role plays a critical role in ensuring the efficient processing of documentation workstreams within CDM operations while maintaining accuracy and adherence to daily SLAs and metrics and PHI & HIPAA requirements.

Primary Responsibilities:

  • Process electronic incoming documentation according to standard CDM workflows/tasks, including sorting, splitting, indexing, and triaging to appropriate departments or workflow paths/folders
  • Support outgoing mail workflows/requests as appropriate within CDM workflows/tasks, ensuring accuracy and compliance with PHI and HIPAA requirements
  • Process incoming mail according to standard CDM workflows/tasks, including sorting, scanning, indexing, and triaging to appropriate departments or workflow paths/folders
  • Perform various data entry tasks aligned with CDM workflows/tasks
  • Maintain and process/complete tracking/receiving workflows according to CDM standards and requirements, maintaining accuracy and required SLAs as assigned
  • Support internal audit workflows as required
  • Support all required electronic documentation retention requirements
  • Accurately process Payment Card Industry (PCI) data & assist with PCI annual audit requirements when needed
  • Assist with general administrative tasks and issue resolution activities for all projects and programs supported by the team
  • Support workflow responsibilities as assigned, meeting all SLAs, client requirements, and performance guarantees
  • Contribute to the development of process documentation for all products and workflows assigned
  • Aid other team members as needed and build positive working relationships with peers and business partners to drive engagement and productivity
  • Produce and keep track of Excel trackers, both paper and digital, for multiple work projects and departments
  • Support leadership on meetings when new projects and metrics are discussed
  • Keep all department locations and point of contact information updated for incoming and outgoing mail
  • Support training activities as needed within team-aligned workflows
  • Extensive work experience within own function
  • Work independently, frequently completing work without established procedures and may act as a resource for others or coordinate other activities
  • Learn to use new production equipment and supporting software and take on new responsibilities to align with the changing demands of business partners
  • Perform other duties and responsibilities as required

Required Qualifications:

  • High school diploma or GED
  • 4+ years administrative and or data entry experience
  • 3+ year of scanning, printing, shipping, or other mailroom related work experience
  • Demonstrated ability to work in a fast-paced environment and support multiple priorities
  • Proven proficiency with Windows PC applications, with the ability to navigate and learn new computer system applications
  • Proven proficiency in using document management software and mailroom equipment, with the ability to navigate & learn new software tools and equipment
  • Proven excellent organizational skills with attention to detail
  • Proven proficiency in data entry accuracy
  • Demonstrated ability to apply critical thinking skills and problem-solving skills
  • Demonstrated ability to lift a minimum of 50 pounds

Preferred Qualifications:

  • Associate degree in business administration or related field
  • Proven knowledge/experience with multi-functional databases
  • Proven knowledge/experience with short term and long-term records storage and management
  • Proven knowledge/experience with pharmacy/medical terminology
  • Proven proficiency in Microsoft Programs
  • Proven proficiency in Adobe Platforms

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
