Job Description:

Responsible for performing clerical tasks within an office setting to support daily operations
Works at the front desk of the office, greeting patients as they arrive and making sure the area is clean, orderly and sanitized - the first point of contact for patients
Answers and responds to patient and vendor phone calls and emails in a highly professional manner
Receives and delivers clinic mail and packages
Maintains the staffing schedule, and approves paid time off
Is a dependable member of the team, and appropriately communicates with doctors and staff
Remains calm and flexible in ubiquitous situations, and leads resolution of conflicts
Uses strong problem-solving and critical thinking skills in setting organizational priorities
Knowledge of industry nomenclature to communicate accurately and professionally with the ability and acceptance to learn more quickly
Hires and onboards new administrative staff as needed
Develops and implements office policies and procedures
Maintains strong relationships with coworkers and embodies strong leadership skills
Manages patient scheduling, phone calls and emails
Oversees new patient registration process
Resolves patient needs in a timely and professional manner
Maintains patient electronic health records and other records, ensuring accuracy and proper filing
Ensures all customer service standards are met
Builds, oversees and maintains an office budget, including billing and coding
Manages office supplies, including ordering and maintaining inventory
Oversees patient billings, processing invoices and helps clients or customers if they have any questions about their charges
Uses popular software for electronic medical records (EMR), billing, scheduling, and payroll software.
Makes sure regulations, guidelines, and standards are followed
Collaborates with doctors/nurses/staff to set goals, objectives, and budgets Qualifications:
An associate or bachelor s degree in healthcare management, business, or a related degree is required.
A Certified Medical Manager (CMM) designation from the Professional Association of Health Care Office Management (PAHOM) is preferred.
At least 4 years of medical office management experience is required.
Ability to lift a minimum of 10 pounds occasionally.
Ability to sit for extended periods of time.
