POSITION OVERVIEW

The Paul, Weiss business development department is excited to grow its client events team with the addition of a burgeoning event professional. This is a unique opportunity to join a dynamic team where you can develop in your career alongside seasoned event professionals. As the Client Events Coordinator, you will support the execution of client-facing events that advance the firm's strategic vision, including client dinners, seminars and webinars, off-site retreats, sporting events and concerts, and other client-centric networking activities.

The client events team collaborates regularly with practice development, marketing and communications colleagues as well as the firm’s internal events team and partners to deliver white-glove experiences consistent with the Paul, Weiss brand. Ideal candidates are creative, organized, detail oriented and comfortable supporting multiple events and time-sensitive deadlines concurrently. They possess strong interpersonal and client service skills and communicate effectively at all levels of the organization. Keeping current on New York’s restaurant scene and happenings in and around the city is essential, and qualified candidates can easily bring these capabilities to bear outside of New York. Ideal candidates are comfortable actively contributing ideas, and expanding upon existing organizational tools, processes and policies related to event production and delivery, all while providing an outstanding client experience.

ESSENTIAL FUNCTIONS

· Support client event planning and execution efforts across firmwide practices, from request through execution and post-event reporting and ROI analysis

· Contribute to the execution of end-to-end event details, including but not limited to; registration; photography; transportation; floral and menu selection; audio-visual specs; and other event related logistics as required

· Organize production of event related materials with stakeholders, including signage, print materials, name tags, promotional giveaways, etc.

· Draft run-of-show and process documents in support of all events

· Provide on-site support to ensure the smooth execution of all events, including event check-in, set-up and breakdown

· Assist event technology efforts for in person and hybrid programming, including production protocols and audio-visual requirements

· Maintain the department’s event calendar and activity database (pull reports, update items, etc.).

· Generate knowledgeable venue options and recommendations in a user-friendly format

· Provide feedback on invitation and material design

· Handle event RSVP tracking and reporting

· Liaise with the firm’s Continuing Legal Education (CLE) team to secure credit where appropriate

· Contribute to post-event communications and reporting

· Maintain event budgets

· Deliver post-event surveys and generate feedback reports

· Schedule meetings and conference rooms, and organize meeting materials

· Prepare and process invoices, bills, and expense reports

QUALIFICATIONS

Education, Work Experience, Skills

· A four-year degree required

· 2 - 4 years’ experience in event planning in a fast-paced professional services organization preferred

· Law firm or other professional service experience are a plus

· Technologies/Software

· Technologically savvy with a familiarity of platforms such as Zoom and InterAction or an equivalent Contact Relationship Management (CRM) system

WORK ENVIRONMENT

· This role requires interaction with firmwide attorneys and administrative personnel on a regular basis, as well as communicating information to various groups within the broader marketing/business development department. The successful candidate will possess outstanding proofreading and communication (oral and written) skills, and the ability to multitask and prioritize in a fast-paced environment with meticulous attention to detail and a professional demeanor.

This is a hybrid role which requires in-office attendance in accordance with the schedule set forth by the department. A hybrid schedule is an essential function of this role.

Salary:
  • $70,000-$80,000. Paul, Weiss offers competitive compensation and benefits packages. The firm considers a number of factors when determining compensation, including, but not limited to, education, years of experience, levels of experience, competency levels and other relevant skills and qualifications.
  • Overtime work is often required, including nights and weekends.
