General Description / Primary Purpose
The primary responsibilities of this position include customer service and client relations for the Division of Continuing Education (DCE) as well as program support for DCE courses.

During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.


Essential Duties

Job Function
As a member of the Division of Continuing Education's (DCE) Customer Care Team, the primary function of this position is to provide outstanding service to internal and external DCE customers as well as corporate clients. In addition, this position provides significant support to the division, which includes administrative support to the Dean of DCE and DCE leadership team.

Job functions include, but are not limited to, the following:
-Greet/provide assistance to customers, visitors, and corporate clients by phone/email/in-person
-Provide customers/clients with program/course information and monitor/resolve customer/client account issues
-Process enrollments and cancellations in DCE courses, utilizing Continuing Education's registration system to register customers/clients and UNF's payment system to process payments/refunds
-Assist with financial record keeping, including invoice management, collections, check deposits, and third party payment processing
-Promote and cross-sell DCE courses through outbound/inbound calls and emails
-Troubleshoot A/V equipment setup in classrooms
-Provide program support by preparing course materials and managing course documentation
-Oversee room setup for in person courses, including maintaining course schedules, ensuring furniture is set up correctly and materials/equipment are ready for use, checking between courses for clean up and room reset (utilizing student assistant help when available)
-Collect, monitor, and track course evaluations and required enrollment forms
-Provide timely and efficient telephone support to DCE program directors and Dean
-Maintain the appearance of the classrooms and DCE office common areas; process work orders when needed for repairs or cleaning
-Oversee DCE facilities upgrade projects, to include follow up with UNF Procurement and/or contractors, gather quotes and information on pricing/options, update Assistant Director of Finance on progress/concerns
-Order supplies for the division, utilizing appropriate UNF Procurement procedures
-Review and edit digital and hard copy communications/materials sent to customers and clients; complete mailings for hard copy materials
-Assist with implementation and management of OnBase document imaging software
-Assist with supervision of DCE's student assistants under the direction of the Assistant Director of Finance: selection of students, training, scheduling, and task management
-Provide administrative support to the Dean of DCE, which includes scheduling meetings, taking accurate minutes, developing external and internal communications, maintaining records, coordinating the Dean's Council, and contract tracking.
-Special projects as needed from the Dean of DCE and DCE leadership

Ability to learn and become proficient in additional software, to include: DCE's CampusCE software, CashNet, UNF Foundation Raiser's/Financial Edge, UNF EMS software, OnBase, Google Documents, OneDrive, Dropbox. Ability to troubleshoot office or classroom technology (computers, AV equipment).
