Required Qualifications (as evidenced by an attached resume):Bachelor's degree (foreign equivalent or higher). Two (2) years of full-time work experience in a higher education, nonprofit or other environment, with experience in at least one of the following: office management, volunteer management, event planning, or project coordination. Experience incorporating diversity, equity, and inclusion principles in professional work, educational projects, and/or community initiatives.

Preferred QualificationsExperience working directly with alumni, students, and staff across many functional areas. Experience with event coordination. Proficiency using Raiser's Edge or similar fundraising, student record, or client/customer management software (CRM).

Brief Description of Duties:The Stony Brook University AdvancementCoordinator of Alumni Engagement will support Advancement and Alumni Affinity Programs' mission by strengthening relationships between alumni, the University, and the Stony Brook Alumni Association through alumni affinity groups' programming and engagement. The Coordinator of Alumni Engagement will be responsible for coordinating alumni affinity group activities, including event planning, purchasing, and serving as an engaged liaison within the Alumni Relations office. They will support program execution by collaborating with various stakeholders to ensure events are organized on time, within budget, and in compliance with university policies, while also monitoring program effectiveness. Additionally, they will manage alumni data and establish partnerships with internal and external university teams to support advancement goals. They will partner with alumni groups to build and nurture opportunities that create a sense of belonging for Stony Brook alumni who share specific affinities such as social or cultural identities, life experiences, membership in a student club or organization, or professional affiliations. Success working collaboratively with others (colleagues, peers) across different functional teams or roles is essential. This role will report to the Director of Alumni Affinity Programs.

  • Relationship Development:
    • Develop a comprehensive understanding of the Advancement and Alumni Relations structure, including key stakeholders, departments, and processes, to facilitate effective communication and collaboration. Establish positive working relationships with key internal and external partners such as teams within Student Life including but not limited to Diversity, Intercultural and Community Engagement, Student Clubs and Organizations, Fraternity and Sorority Life, and LGBTQ* Services; academic units such as EOP/AIM; and teams across Advancement including the Constituent Experience, Development, and Data Services teams.
  • Communication:
    • Serve as an important point of contact for the Alumni Affinity Programs team, ensuring clear and effective communication at all times. Draft and coordinate communications that are clear, concise, and aligned with Advancement's objectives. Maintain project management boards for all active alumni affinity group activities. Communicate with alumni group leaders, University partner units, vendors, presenters, and others to execute in-person and virtual programs
  • Project Coordination:
    • Track progress, monitor deadlines, and communicate updates to the Director of Alumni Affinity Programs on all projects to optimize productivity and workflow. Projects will include but not limited to: Assist in the coordination of alumni affinity group activities, including event planning, managing purchasing, project management support, and serve as an important point of contact between the groups and the Alumni Relations office. Provide support to the Director of Alumni Affinity Programs in ensuring programs are organized effectively, on time, within budget, and complete with university policies and procedures. Monitor and assess outcomes, including the reach and effectiveness of each program.
  • Administrative & Customer Support:
    • Provide administrative support to Alumni Affinity and Alumni Relations team members, including assisting with tasks, coordinating logistics, and maintaining organization and accuracy across files, documents, databases, and other materials. Assist with scheduling, correspondence, and document management to ensure smooth daily operations. Support the Alumni Affinity Programs team data management efforts by updating alumni records with attributes, event participation, and other tags.
  • Growth/Development:
    • Embrace growth opportunities and utilize best practices to continuously improve performance and contribute to the organization's success.
  • Other duties as assigned.

Special Notes:The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research policies and procedures, sponsor guidelines and the availability of funding. This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
