POSITION SUMMARY:
The Department Office Assistant Scheduler is fully engaged in Quality/No Harm, Customer Delight, and Stewardship by providing exceptional customer and team support in a professional, memorable and timely manner.
PRIMARY ACCOUNTABILITIES:
- Processes and maintains all schedules for area(s) of responsibility; runs schedules daily and distributes to appropriate departments/individuals in a timely manner.
- Accurately documents and communicates changes, pertinent information, and any required data to other departments and physician offices.
- Maintains a safe working environment.
- Maintains established quality assurance and productivity benchmarks, utilizes best practice standards, and adheres to all healthcare regulations, including The Joint Commission guidelines.
- Maintains flexibility, adapting to changes in workflow processes, the needs of the Health First organization, and fluctuations in patient volume.
- Inputs all necessary data as directed. May assist with creation and maintenance of reports, databases, spreadsheets, and other documentation using a variety of software applications.
- Exceeds customer expectations through personalized, respectful, and calm communication with accurate and timely information.
Qualifications:
MINIMUM QUALIFICATIONS
- Education: High school diploma or equivalent.
- Work Experience: One (1) year customer support experience.
- Knowledge/Skills/Abilities:
- Excellent interpersonal, oral and written communication skills in the English language.
- Ability to operate basic office equipment.
- Basic computing skills including keyboarding, data entry, and working knowledge of MS Office applications.
- Ability to function effectively and efficiently in a stressful work environment.
- Ability to work autonomously, effectively prioritizing demands and managing time.
PREFERRED QUALIFICATIONS:
- Certification: certified Administrative Professional.
- Work Experience: Prior patient care or customer service experience in healthcare.
- Knowledge/Skills/Abilities: Familiarity with basic medical terminology.
PHYSICAL REQUIREMENTS - Sedentary
- Majority of time involves sitting or standing; occasional walking, bending, stooping.
- Long periods of computer time or at workstation.
- Light work that may include lifting or moving objects up to 20 pounds with or without assistance.
- May be exposed to inside environments with varied temperatures, air quality, lighting and/or low to moderate noise.
- Communicating with others to exchange information.
- Visual acuity and hand-eye coordination to perform tasks.
- Workspace may vary from open to confined; on site or remote.
- May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
