Job Description:

The primary function of this position is to act as the Senior Administrator and Business Officer for the University of Florida Veterinary Hospital System with a budget of approximately $60 million, responsible to Executive Director. This position works collaboratively with the Associate Deans for Clinical Services and the hospital leadership team. This role will oversee the UFVH accounting team, SA-Gainesville client services team, and accounts receivable/medical records team.

Oversight of UFVH Hospital Systems:
• Oversees the planning, development, and execution of individual service budgets in coordination with the UFVH CFO and Associate Deans
• Develop, implement, and analyze budgets continuously, examining its variances to actual results and provide recommendations for change to the Associate Deans. Update proformas as needed with new data.
• Evaluate each hospital's performance (LAH, SAH, WEC, PETS, Diagnostic Labs) by analyzing and interpreting data and metrics in coordination with the UFVH CFO and provide recommendations to the Associate Deans. Metrics can include effective use of services, space, and personnel.
• Strategically advise decisions (e.g., evaluate the ROl and business impact of a proposal before recommending the expenditure, i.e. maintenance contracts, capex, software, etc).
• Collaborate with the Associate Deans to develop short- and long-term financial plans, objectives, policies, and actions.
• Research and review Hospital Information Systems to ensure fees are appropriately being captured and work with Client Services Representatives and hospital stakeholders on ways to improve compliance and fee capture.
• Reviews contracts between UFVH and third parties.
• Oversees UFVH budget validation for significant expenditures including personnel, capital equipment, renovations, construction, and UFVH faculty incentive pay.

Oversight of UFVH Accounting Team
• Supervises, coaches, and mentors UFVH Associate Director of Accounting.
• Work with Accounting team to ensure UFVH stakeholders are practicing proper financial compliance and internal controls through training, monitoring, and regular audits.
• Support UFVH accounting team with FVMFA policies, reporting, and account management.
• Provide guidance on payment processing including cash, credit cards, online and mobile payments, care credit, insurance and other form of client payment to the UFVH.

Oversight of Manager of Customer Service for Small Animal Hospital Operations(Gainesville)
• Provide direct supervision, coaching, and training to the SAH client service manager.
• Ensure SAH CSR team provides consistent, timely, positive, and high-quality customer service and communication with UFVH clients and stakeholders.
• Provide support for escalation events and complex troubleshooting.
• Assist with development of CSR policies, procedures, training, and best-practices.

Oversight of all Accounts Receivable and Medical Records for the UF Veterinary Hospital System
• Includes management of patient records requests
• Work with UFVH stakeholders to evaluate and optimize AR, DSO, and payment capture for client, research, and teaching accounts through policies and workflow.
• Oversee collection of payment for UFVH contracts with third parties.

Strategic planning and implementation of new services/programs
• Works with the Associate Deans of Clinical Services in the analysis & development of strategic planning initiatives, including development of new programs, promotion of clinical programs and proformas.

Expected Salary:

Salary will be commensurate with education and experience.

Minimum Requirements:

Master's degree in an appropriate area and six years of relevant experience; or a bachelor's degree in an appropriate area and eight years of relevant experience.

Preferred Qualifications:
• MBA, MHA or Master of Finance
• 6 years of academic medicine experience
• 3 years of clinical management
• Knowledge of institutional policies, procedures, terms and concepts
• Excellent oral and written communication skills; experience with computer systems & applications
• Ability to manage and develop staff and participate in hospital decision-making at the executive level
