The School of Education and Human Development (EHD) at the University of Virginia seeks applicants for a full-time Grants and Contracts Administrator or Senior Grants and Contracts Administrator to join our fast-growing Office of Research Administration team. This position is available for in person, fully remote, or hybrid work, and starts immediately. This is a salaried position with full UVA benefits. Ideally, we are hoping to fill this at the Senior Administrator level.

Working as a member of a high functioning, interactive research administration team, the successful applicant will be assigned to support proposal submissions primarily for EHD's largest research center, the Center for Advanced Study of Teaching and Learning (CASTL). In this fast-paced, exciting environment, the incumbent will have the opportunity to work on projects of varying scope and size funded by federal, state, local, and private foundation sponsors. CASTL faculty submit approximately 50 proposals per fiscal year.

Applicants must understand sponsor requirements, Uniform Guidance, and be able to interpret guidelines for Principal Investigators and project staff with a variety of levels of experience with grants administration. They should have strong listening and communication skills, be adept at learning new systems and processes, and be able to understand new concepts easily and efficiently.

Candidates will work directly with principal investigators and research teams to facilitate all aspects of the proposal submission process. This involves directly assisting proposal teams comprising faculty and research staff, communicating with external sponsors as needed, and serving as the primary contact for external subcontractors during the proposal preparation process.

Incumbents may perform a range of other duties within their organizations, as needed, but must possess significant expertise in grants and contracts administration and the ability to work independently, and must exercise good judgment.

Role and Responsibilities include:
  • Support an assigned portfolio of principal investigators whose research is affiliated with the Center for Advanced Study of Teaching and Learning.
  • Conduct careful reviews of requests for proposals/applications (RFP/RFA) and other sponsor solicitations to identify sponsor requirements.
  • Work directly with faculty and research teams to iteratively develop budgets and associated budget narratives using EHD templates that are at once responsive to: RFP/RFA requirements, internal UVA and EHD policy/guidance, and faculty/research team needs.
  • Work with principal investigators to compile all non-budgetary documentation required for proposal submission (e.g., biographical sketches, current/pending support, cover pages, letters of support, etc.).
  • Carefully review proposal documentation against RFP/RFA requirements, making corrections as needed and upload materials to sponsor submission systems (e.g., grants.gov, research.gov, private sponsor platforms).
  • Prepare funding proposals for submission in Research UVA Powered by Huron (RUVA PBH), submit for internal review, and monitor the approval and submission process.
  • Assist principal investigators and research teams in responding to just-in-time requests as requested by sponsors, documenting the request in Research UVA Powered by Huron and/or associated sponsor submission platforms.
  • May occasionally assist with the preparation, routing, and approval of non-funded agreements (NFAs) developed as part of the pre-award process (e.g., data use agreements, memoranda of understanding, and teaming agreements, non-disclosure agreements).
  • Maintain accurate proposal documentation in shared drive folders.
  • Review draft contracts as proposals are awarded, providing input and support to principal investigators and research teams; resolve problems through contact with EHD administrators and faculty and the UVA Office of Sponsored Programs (OSP) and recommend appropriate changes.
  • Monitor faculty compliance with various training and disclosure requirements including, for example: Financial Conflict of Interest (FCOI), Undue Foreign Influence (UFI) training, Patent Agreement/Assignment, and Responsible Conduct of Research (RCR).
  • Maintain complete and accurate file information for grants in an assigned portfolio.
  • Provide training and guidance to EHD faculty on the pre-award process, including general proposal preparation and submission procedures, UVA policy, sponsor-specific guidance, and other topics as needed.
  • May occasionally support pre-award activities for principal investigators in other EHD units as needed.
  • May occasionally provide technical and administrative assistance to principal investigators and the CASTL post-award team in the preparation of progress and final reports and final invention statements.
  • In addition to the above job responsibilities, other duties may be assigned.
Minimum Requirements- Grants and Contracts Administrator
Education: Bachelor's degree
Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.

Experience: At least five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree

Licensure: Certified Research Administrator (CRA) or Certified Pre-Award Administrator (CPRA) is preferred

Preferred Qualifications

Significant preference will be given to those candidates who meet some or all preferred qualifications. Candidates are strongly encouraged to submit a cover letter detailing how their experience and qualifications align with the following:
  • Strong, demonstrated understanding of Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards (i.e., 2 CFR Part 200, commonly known as 'Uniform Guidance')
  • Familiarity with Research UVA Powered by Huron, Grants.gov, Research.gov, and other sponsor submission platforms
  • Demonstrated experience preparing proposals for submission to the United States Department of Education, the US National Science Foundation, the US National Institutes of Health, and non-Federal sponsors (i.e., foundations).
  • Demonstrated capacity to perform basic and advanced calculations and formulas in spreadsheet programs (e.g., Excel, Smartsheet).
  • Demonstrated mastery of basic office software, especially Outlook, Microsoft Word, and Excel
  • Experience with Smartsheet and Trello
  • Certified Research Administrator (CRA) or Certified Pre-Award Administrator (CPRA) credential
Compensation: Anticipated range of $60,000 - $82,500/year. Salary is commensurate with the job offered (Grants and Contracts Administrator or Senior Grants and Contracts Administrator), education, experience, and ability to meet minimum qualifications as outlined above; includes UVA benefits.

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
