Under the direction of the Deputy Manager I, the Event Coordinator will coordinate, organize, and facilitate events at the Ventura County Fairgrounds.

This position is designated under the Conflict-of-Interest Code. The position is responsible for making or participating in the making of governmental decisions that may potentially have a material effect on personal financial interests. The appointee is required to complete Form 700 within thirty (30) days of appointment, on an annual basis, and upon vacating the position. The incumbent must complete an Ethics orientation training course within six months of assuming a Form 700 covered position, and every two (2) years thereafter, by December 31 of each numbered year. Failure to comply with the Conflict-of-Interest Code requirements may void the appointment.

• Meet and communicate with potential vendors, renters, non-profit groups, and promoters to determine buildings, grounds, equipment, set-up/tear down and staffing necessary. May require traveling/driving to various locations to meet with potential vendors and suppliers.

• Generate custom quotes, offer suggestions and recommendations to the promoter/planner to make certain they produce an efficient and successful event.

• Responsible for compiling rental agreements with supporting documents that include, but are not limited to, event insurance, invoices, etc.

• Interface with regulatory agencies including but not limited to California Fair Services Authority, Health Department, and others to meet compliance requirements, submitting and following up on required permits.

• Coordinate with maintenance, security and other staff as needed for events.

• Attend regular planning meetings with promoter/vendor as required.

• Receive payments and create invoices to reveal balance due per event. Account for all charges, utility usage, camping and calculate the amount promoter/vendor will obtain in their deposit refund, if any.

• Manage a productive relationship with existing commercial vendors, small business owners and non-profit groups with outstanding verbal and written communications.

• Receive, review, and process applications. Inform vendor regarding acceptance or non-acceptance in a timely manner.

• Create and maintain commercial vendor agreements and manual.

• Implement, communicate, and enforce commercial vendor rules and regulations.

• Maintain vendor files and accounts, and follow up on any and all necessary details, reminders, and materials to fulfill obligation agreed upon.

• Greet public entering the main office. Provide helpful information, answer questions, and assist with complaints.

Working Conditions

The fairground is a campus of well-maintained buildings where each department is made up of several offices within its own building. Work is performed inside and outside of buildings depending on what work is being conducted. The incumbent will have an office with furniture, phone, adding machine, dual computer screens with various desktop programs. The workstation is equipped with an adjustable roller chair, stationary file drawers, and a desktop of standard height. The office building has a copy room with a photocopying, scanning and faxing machine. Files with shelves are located throughout the office. The maximum height of the files is approximately six feet.

Department Information
The 31st District Agricultural Association (DAA), Ventura County Fairgrounds is owned by the State of California and is administered by the 31st District Agricultural Association under the direction of the Division of Fairs and Expositions, Department of Food and Agriculture. The Fairgrounds strives to maintain and promote its facilities in a manner that encourages year-round use and to annually produce a fair that showcases the area's agriculture and other talents of its culturally diverse communities.

The Ventura County Fairgrounds is a 62-acre facility located on the coast of Ventura County. Along with the production of the annual Ventura County Fair, the facility hosts a number of other events throughout the year. Currently scheduled events include the Strawberry Festival, X Games, Surf Rodeo, community meetings, celebrations, many private and public events of all types.
