About the Department:

The Institute for Biohealth Innovation connects members of the Mason community with others across the Mason community - and with industry, healthcare systems, government agencies, insurance and pharmaceutical firms, government agencies and other stakeholders to develop and implement innovations that have real-world impact. The IBI supports more than 300 faculty, thousands of students, and staff, representing a broad range of academic disciplines by 1) amplifying the work of the researchers by serving as a connector, convener and communicator; 2) managing core laboratories and facilities accessible to researchers across disciplines; 3) forming strategic partnerships that enable opportunities for Mason faculty, staff and students to collaborate to advance research; 4) providing research development support; and 5) engaging with local, state, and federal government agencies on topics relevant to the institute to advance research and grow the regional bioeconomy.

About the Position:

We are seeking a new team member charged with supporting events and meetings. This individual will successfully attend to and complete all projects dealing with events in a timely and reasonable fashion with the highest degree of professionalism.

This position will also assist with admin and operations responsibilities. Other responsibilities will be assigned based on the incumbent's strengths and interests.

Responsibilities:
  • Manage all event operations
    • Understand requirements for each event;
    • Plan event with attention to financial and time constraints;
    • Book venues and coordinate with speakers;
    • Research catering vendors and choose the best combination of quality and cost within university requirements;
    • Purchase supplies and materials following university purchasing procedures;
    • Manage all event set-up, tear down, basic audio-visual support, on-site event support, and execution of events while ensuring all logistical requirements are carried out according to event plans;
    • Coordinate with IBI Communications Officer on event advertising;
    • Implement follow-up processes according to university requirements; and
    • Evaluate event's success.
  • Receive and distribute packages to research teams;
  • Report maintenance and facilities issues;
  • Provide conference room support;
  • Assist guests; and
  • Other administrative duties as assigned.

Required Qualifications:
  • Ability to effectively communicate standards of facility use, program operations, campus policies, regulations, and procedures to customers and the University community;
  • Exhibits strong attention to detail and organizational skills;
  • Demonstrates outstanding interpersonal skills and the ability to work effectively with a diverse audience;
  • Demonstrates excellence in customer service;
  • Strong verbal, written, and communication skills;
  • Ability to multitask and prioritize duties;
  • Ability to work 24 hours per week including an occasional evening; and
  • Must have reliable personal transportation.

Preferred Qualifications:
  • Experience with university systems and procedures is preferred but not required.
