Position Purpose:
Under the direction of the Formula Hybrid + Electric Program Director, the Program Coordinator provides support for the planning and execution of the annual competition, including but not limited to assisting in the planning and management of the event, maintaining and building sponsor relationships, soliciting and managing event volunteers, and handling promotional activities.

Interested candidates will be able to thrive in a multi-faceted position. The varied responsibilities of this position evolve during the year starting with marketing of the competition to potential sponsors and teams through social media and direct outreach. Building relationships with likely sponsors by communicating the competition benefits, securing sponsor commitments, preparing invoices, and tracking payments are key activities. The successful applicant will manage the information flow to registered teams and coordinate team-submitted papers and documents with volunteer reviewers and judges. Planning for the week-long competition is a year-round activity which includes the management of suppliers and caterers and the logistics of moving the required equipment to the track and back again. Coordination of the volunteer responsibilities during the year and during the competition is a key aspect of the position.

Description:
Required Qualifications - Education and Yrs Exp: Bachelors plus 3-5 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities:
·Three to five years' experience working within a program environment.
· Demonstrated record of successful program delivery and/or event management.
· Ability to work both independently and collaboratively with stakeholders at all levels.
· Excellent written and verbal communication skills.
· Strong interpersonal skills.
· Strong organizational and planning skills

Key Accountabilities

Description:
Program and Planning Management

· Coordinates and facilitates the annual Formula Hybrid + Electric competition.

· Works in conjunction with the competition program leads and others to establish performance goals in assigned development areas; monitors progress against goals and devises strategies to ensure success in meeting goals.

· Works in collaboration with Thayer's Communications Office, Career Services, Student Services, and Facilities to oversee, create, and implement associated services and materials for the programs.

· Maintains competition website and published content on a regular basis.

· Leads and coordinates the volunteer retention and recruitment critical to successful events, maximizing contribution and participation of volunteers both prior to, during, and after the event.

· Coordinates all events for the week of competition on and off track.

Description:
Student Support

· Track student document submissions and their subsequent reviews.

· Coordinate student team registration, assisting teams as needed with the process.

· Work with students to answer questions and provide guidance.

· Maintain Support and Upload systems.

· Connect students with FH+E resources and industry experts.

Percentage Of Time: 30%
Description:
Sponsor Management

· Manages and maintains funding through communication with existing sponsors and solicitation of new sponsors, building and maintaining excellent relationships with both.

· Manages tasks related to sponsors, including maintaining sponsor data base, processing sponsor applications.

Percentage Of Time: 15%
Description:
Communication and Collaboration

· Develops networks with College colleagues to keep current on best practices and emerging trends in engineering higher education

· Develops collegial and productive relationships with colleagues in other College engineering programs

· Develops strong and effective relationships with colleagues across the institution.

· Supports the core values of the programs.
