Job Summary

Serve as confidential executive assistant to members of the Planning and Policy Division senior leadership team-directly as the assistant to the deputy commissioner, assistant commissioners and as a backup to the commissioner. Responsible for ensuring efficient and effective scheduling, operations and ongoing projects as assigned by the supervisor or members of senior leadership.

Responsibilities include:
  • Provide advanced and confidential administrative assistance to members of the division senior leadership team with focus on supporting the deputy commissioner and assistant commissioners. Work closely with senior leadership to schedule meetings and maintain the schedules to ensure efficient and effective use of time and progress on key projects.
  • Support coordination and operations related to meeting and event preparation for division senior leadership.
  • Work closely with senior leadership to develop and maintain internal operational effectiveness for the division. Division entities currently include The Children's Cabinet, The Health Cabinet, The Long-Range Planning Team, The Office of Addiction and Recovery and The Office of Inclusion.
  • Assist in the production, distribution, and electronic filing of key agency documents, such as Long-Range Planning Issue Selection Announcements; Office of Inclusion Long-Range Plan etc.


Qualifications

Minimum Qualifications
  • Experience providing high level administrative support as an executive administrative assistant interacting with executive officers and senior managers.
  • Advanced skills in the use of Microsoft Office Suite and a multi-line telephone system.
  • Strong written and oral communication skills sufficient to effectively communicate with a wide variety of audiences at varying levels.
  • English sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.
  • Word processing sufficient to construct, edit and finalize memos, letters, and other documents.
  • Ability to quickly define a problem and develop solutions.
  • Ability to organize work, prioritize tasks and adapt to changing priorities in the context of working with several colleagues and concurrent projects consecutively.
  • Human relation skills to maintain effective working relationships with a wide variety of customers.
  • Ability to exercise discretion and maintain strict confidentiality.

Preferred Qualifications
  • Experience working in state, local or county government
  • Knowledge of state government and policies, particularly as it pertains to the administration and executive-level coordination and processes.
  • Experience coordinating travel processes.
  • Working knowledge of the government data practices act
