Supporting an Executive in Medical Affairs, this Executive Assistant position requires strong skills in the areas of relationship building, communication, and partnering with other leaders' executive assistants, as well as with colleagues at all levels in the organization.

You will enjoy the opportunity to work hybrid (3 days in office per week) at the UnitedHealth Group Corporate Headquarters in Minnetonka, MN if you are local (preferrable) or full time telecommute if you are outside the state.

Primary Responsibilities:

  • Manage Medical Affairs Leaders' calendars and meeting scheduling with the ability to resolve multiple calendar conflicts
  • Must be professional and comfortable interacting with executive level leaders; must also be prepared to handle the complexity of coordinating travel, meetings, and visitors at this level.
  • Make large meeting arrangements, including schedules and setting up resources and technology requirements (e.g., conference rooms, agendas, catering, Teams and telepresence, meeting materials, etc.)
  • Serve as the team's point of contact for technology requests and new-hire on-boarding
  • Answer incoming calls and facilitate handling of requests for information
  • Work independently to perform varied administrative duties
  • Create, edit, and print Microsoft Office documents ensuring quality and accuracy
  • Occasionally, attend meetings, capture notes and action items, follow up on action items
  • Maintain a high level of organization and attention to detail
  • Coordinating both domestic and international travel, and preparing expense reports
  • Handle confidential information professionally and discreetly
  • Create a welcoming environment for guests and employees
  • Experience coordinating travel and expense reports
  • Enter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendors
  • Desire to build effective relationships with other administrative assistants and coordinators; operate as a team player
  • Support several executives within the UHG Medical Affairs department
  • Act as department BSL for a team of 35 individuals
  • May coordinate activities for other leaders
  • Provide internal and external customer service to employees, vendors and clients

Required Qualifications:

  • 4+ years of administrative experience in support of senior executives (Director/VP or higher) in a highly matrixed organization
  • Experience supporting multiple executives within a fast-paced, dynamic environment
  • Advanced proficiency within Microsoft Office Outlook, Excel, PowerPoint, Word, Teams
  • Experience arranging Microsoft Teams virtual meetings
  • Experience coordinating large meetings for senior leadership
  • Experience coordinating office moves including hardware and software requisitions, travel arrangements, new hire onboarding and other office management responsibilities
  • Experience managing multiple tasks/projects and deadlines simultaneously with attention to detail and a commitment to confidentiality

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with al minimum wage laws as applicable.
