All positions at the public education department are based in Santa Fe however some may operate through our Albuquerque office based on home address and space availability.

Why does the job exist?

This position for the Deputy Secretary of Identity Equity and Transformation exists to lead the direct support services for the Deputy Secretary of Identity Equity and Transformation, the Deputy Director, and staff by managing office program functions independently with in the scope proscribed and needed by the Deputy Secretary of Identity Equity and Transformation. This also includes oversight of daily office operations and ensuring proper operating functionality of the Office of the Deputy Secretary of Identity Equity and Transformation.

How does it get done?

-Managing the calendar for the Deputy Secretary of Identity Equity and Transformation, the Deputy Director, and staff . This includes ensuring the Deputy Secretary's schedule is followed and respected. Organizing, coordinating, and planning meetings, appointments, events, and work sessions with critical stakeholders ; providing briefings and background materials for the Deputy Secretary of Identity Equity and Transformation, the Deputy Director, and staff and anticipating changes in the calendar and taking appropriate actions as needed.

-Manage the budget and procurement functions related to all travel and expenditures for the Deputy Secretary of Identity Equity and Transformation, the Deputy Director, and staff . This involves preparing and tracking all applicable documents for both in-state and out of state travel to ensure completion and with in required rules and regulations. This includes facilitating cross-divisional coordination of travel and outreach plans.

-Perform the intake process for internal and external customers with concerns who call, e-mail, and/or walk-ins. This includes logging and tracking correspondence, receive and screen incoming calls and visitors and determine the appropriate course of action referral, or response.

-Perform several high level review functions including preparing, proofreading, and editing written correspondence on behalf of the Deputy Secretary of Identity Equity and Transformation, the Deputy Director, and staff . Read and screen incoming correspondence and reports; make preliminary assessment of the importance of materials and organize documents; ensure that documents submitted for signature by the have been reviewed by appropriate staff.

In service of Local Education Agencies and Public Charter schools to support New Mexico students through the NMPED Identity, Equity, and Transformation Division.

Minimum Qualification

Associates Degree in Business Administration, Public Administration or Accounting and two (2) years of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management and/or contract management. Employment Requirements

Must possess and maintain a valid New Mexico's Driver's License.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
