Executive Assistant to provide support for the Head of Wealth and Investment Management Communications, Head of Wealth Management Communications, and other senior Corporate Communications Department officers. Hours: 8 a.m. - 6:30 p.m. with overtime. Corporate Communications manages Internal and External Communications across the Firm and provides coverage for Business Units to support the Firm's overall business objectives and strategic vision.

Job Responsibilities:

- Coordinate with Managing Directors to prioritize scheduling, maintain calendars and schedule a high volume of meetings that require working with multiple division

- Coordinate travel arrangements and agendas in preparation for on-site and off-site meetings, conferences and event

- Provide telephone coverage for senior officers - answer phones in a professional manner, and distribute messages. Handle urgent/confidential calls with appropriate judgment. Heavy internal/external communication with senior management and members of the media.

- Submit and monitor expense reports and check request

- Manage highly sensitive information as it relates to the Firm and staff

- Back-up coverage for admin. colleague during planned or unplanned absences from the office

- Review and prioritize incoming mail and take appropriate action

- Manage to completion special projects as assigned

- Administrative responsibilities: file, label and archive physical files as necessary; maintain contact lists, order catering and arrange visitors' passe

- Assist with other administrative duties and project requests as needed

Qualifications:

Skills Required:

- Prior administrative or related experience at executive level is essential

- Experience supporting multiple professionals at the same time is a plu

- Excellent communication, writing, judgment, and problem-solving skill

- Strong attention to detail as well as solid organization/time management skill

- Ability to work in a fast-paced environment and handle multiple tasks concurrently, prioritize and take independent initiative for action within areas of responsibility

- Flexible attitude with the willingness to take on new project

- Highly service-oriented individual with the ability to work well both as an individual contributor and as part of a team

- College Degree or Equivalent Work Experience

- Proficiency in Microsoft Office application

- Schedule flexibility is a plus, will periodically need to come in early and/or stay late.

Expected base pay rates for the role will be between $70,000 and $115,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
