Our client is a private equity firm looking for an Assistant to join their NYC office to support the Co-Leader of an Investment Group. This role will involve both professional and personal support and are experienced working in fast-paced environments. Aside from fundamental executive assistant responsibilities such as calendaring, scheduling, coordinating international and domestic travel, and preparing meeting materials, this role will be consulting with various financial service professionals. Candidates must have worked in a financial service environment and are able to be proactive and execute daily tasks while simultaneously anticipating executive's needs. This is a hybrid position, 4 days on-site and 1 remote, and traditionally from 8:00AM - 6:00PM EST, but must be flexible and generally available 24/7.
  • The salary is up $120k with paid overtime, discretionary bonus and medical benefits as well as other perks.

Responsibilities:
  • Support high level executive(s) in their daily operations
  • Manage calendars, schedules, global travel arrangements in addition to any personal support needed
  • Work cross-functionally with internal departments
  • Strategically coordinate professional and personal appointments, events and travels, ensuring all information is updated with details
  • Responsive outside of working hours and as needed
  • Function as the gate keeper to internal and external colleagues and clients
  • Managing mass amounts of information (presentation decks, contracts, legal documents, etc.)
  • Creating highly detailed itineraries, meeting minutes, research notes, etc.

Required Qualifications:
  • Financial service experience is required
  • College Degree strongly preferred
  • Ability to be flexible and responsive outside of working hours
  • Global travel coordination experience
  • Comfort in handling both professional and personal assistance
  • Works with the utmost confidentiality and discretion
  • Excellent written and verbal communication
  • Anticipates needs
  • Proactive with strong abilities working collaboratively and independently
