Cloud Operations + Innovation (CO+I) is seeking a skilled Exec Business Administrator to provide support for the Lead Executive Assistant (EA) of CO+I Exec Office and their teams. This role will take on a variety of tasks while working in a fast-paced and dynamic environment. The successful candidate will have organizational and communication skills, be able to proactively anticipate needs and shift priorities quickly, be self-motivated, self-aware, and have the ability to balance a sense of humor with a sense of responsibility. They perform in an energetic work environment, and have a sense of urgency for key deliverables, deliberate and forward-thinking in how they approach challenges, and operate administratively at scale.

Responsibilities:

  • Serve as backup support to the Lead EA and be an active part of the CO+I Business Support community
  • Assist Lead EA with day-to-day Corporate Vice President (CVP) Executive Office onsite operations.
  • Team SharePoint and OneNote creation and/or maintenance
  • Procurement and management of supplies, hardware and assets.
  • Space management
  • Headcount management, post job requisitions, set up/onboard new hires.
  • Facility requests
  • Maintain org Distribution List (DLs) and Security Groups (SGs) as needed
  • Ensure compliance of operational policies and procedures.
  • Coordinate other projects as assigned.
  • Morale event planning and organization
  • Directly resolves customer requests and hosts business guests
  • Order (and deliver if needed) lunches for meetings.
  • General Team support


Qualifications:

Required/Minimum Qualifications
  • 2+ years Administrative, Business Support, and/or customer service experience.
  • 2+years of work experience supporting a senior-level manager
Other Requirements

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings: Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Additional or Preferred Qualifications
  • Proven excellence in administrative skills and functions.
  • Provide positive interactions with others and ability to act with executive presence and diplomacy, critical for interaction with all levels of Microsoft employees, executives' cross group as well as external partners.
  • Ability to interface at the exec-level with customers and partners both internal and external
  • Professionalism to represent the manager and teams effectively
  • Planning and organizational skills to effectively prioritize demonstrated customer service focus.
  • Relevant written and verbal communication skills
  • Comfortable operating within ambiguity and changing direction rapidly to accommodate a fluctuating work environment.
  • Proficiency with Microsoft software and internal Microsoft tools
  • Ability to lift and move standard office equipment (i.e. computers and peripherals)
  • Ability to make timely decisions, prioritize and exercise sound judgment with appropriate urgency in situations that require a quick response
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $23.56 - $41.68 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $34.71 - $48.22 per hour.
