A Global Integrated Marketing and Communications Firm in NYC is seeking a new Full-Time / Permanent Executive / Personal Assistant to support the CEO. This is an AMAZING opportunity, and the Executive is fantastic! Candidates must have a minimum of 5-7+ years of high-level executive business and personal administrative experience supporting a CEO (required) and a Bachelor's degree is required. Ideal candidates should be polished, professional, easy to get along with (no "drama"), possess a "no task is too big or small mentality," be accessible when needed, able to think on their feet, connect the dots, be thoughtful, deadline-driven, and know what it is to be "on." This person should also have excellent follow-up and writing skills. They also plan on hiring a 2 nd Assistant after this person is brought on to handle the vast majority of the personal administrative duties. Only the best of the best should apply!
  • Salary depends on experience (130-180k base) plus discretionary bonus eligibility (FYI - the higher the base, the potential there is for no bonus).
  • Hours are 8:30am-5:30pm, with 24/7 flexibility (the CEO is reasonable and respectful of this person's time). Hybrid work schedule (4 days in office, 1 day remote).
Responsibilities:
  • Heavy calendar management: arrange meetings (in-person / zoom), meals, and phone calls, both internally and externally, utilizing Outlook and iPhone calendar systems; calendar becomes a logic game in which it's important to be proactive in 'creating time.'
  • Work directly with all internal team members / account teams and clients as the point person for coordinating many meetings .
  • Important: heavy interaction with clients and prospects, serving as an ambassador and representative of the CEO and the firm .
  • Heavy travel coordination: coordinate and oversee extensive travel plans, both domestic and international. Create elaborate and detailed itineraries that involve different time zones, airline and hotel preferences, client contact details, materials needed for meetings, etc.
  • Manage expenses as it relates to work-related travel, meals, etc.
  • Manage time entry for client billings .
  • Work alongside new business coordinator to prepare and organize important documents via Word, PowerPoint, and Excel, including, but not limited to, decks for new business presentations, legal documents such as LOAs and RFPs for executives, and administrative tasks for other team members on an as needed basis .
  • Work alongside the CEO's PA to ensure calendars / plans are well coordinated .

Required Qualifications:
  • Minimum 5-7+ years of applicable high-level executive business and personal administrative experience supporting a CEO.
  • Bachelor's degree required.
  • Polished and professional.
  • Easy to get along with; no "drama."
  • Excellent follow-up skills.
  • Thoughtful, deadline-driven, able to think on their feet and connect the dots.
  • Know what it is to be "on."
  • 24/7 accessibility as needed.
  • Strong writing skills.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, PowerPoint, and Excel .
