Job Description

SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:

Under supervision of the Chief Corporate Compliance Officer ("CCO") and Deputy Corporate Compliance Officer (DCCO), ensure that the Office of Corporate Compliance ("OCC") is operated effectively and efficiently. Perform highly confidential and complex projects and assignments for the CCO and their Compliance and Privacy Officers.
  • Meet and greet guests of the OCC who are visiting for meetings, interviews, etc.
  • Manage high volume of telephone communication, fielding and prioritizing calls from, or at times initiating calls to, vendors and high-level executives, both internal and external
  • Handle calendar items and scheduling appointments and meetings for the CCO and Deputy Corporate Compliance Officer
  • Coordinate and reserve conference rooms for the CCO and OCC's meetings
  • Maintain files of all OCC materials, including documents for vendors such as invoices, correspond, contracts, etc.
  • Submit invoices to Accounts Payable to be paid by the OCC
  • Work with CCO and Finance on maintaining and monitoring the OCC's budget
  • Prepare transportation requests for the CCO
  • Organize, distribute and sort incoming mail to the OCC, and prepare documents to be sent via FedEx or overnight mail, including printing labels for packaging
  • Contact the building management for any necessary building related issues (i.e. changing lights, requesting furniture, etc.)
  • Order office supplies (e.g., binders, copier paper, printer cartridges pens, pencils, etc.)
  • Schedule meetings for the CCO with other senior executives and/or their staff
  • Work with OCC staff to prepare for annual Corporate Compliance and Ethics Week, including ordering supplies and swag and dividing them among the OCC staff, and ordering printed materials
  • Assist Corporate Records Management Officer with record retention related projects
  • Assist CCO and OCC staff with various projects as needed
  • Other related duties as directed


Minimum Qualifications

  1. High School Diploma or equivalent, and four years of clerical experience including two years as a stenographic secretary; or,
  2. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or,
  3. An associate degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary; or,
  4. A satisfactory combination of education, training and experience.


Department Preferences

  • The ability to:
    • exercise discretion and diplomacy with all internal and external contacts
    • exercise initiative in handling administrative tasks and duties; and
    • maintain confidentiality of all executive and OCC matters
  • Proficiency in Word, Excel, PowerPoint, and Adobe
