Position Summary

The External Affairs Coordinator works collaboratively with the Director as well as MIHE faculty and staff to oversee Institute-wide activities in communications, development, engagement, outreach, and event management. Overall, this individual is responsible for the creation and distribution of graphic and written media across the McBee Institute's associated website, print, and social media platforms as well as the planning, coordination, and implementation of engagement plans and events. This employee is expected to complete these collaborative tasks with minimal supervision and a high degree of confidentiality.

This position directly reports to the Director of the Louise McBee Institute of Higher Education and will frequently serve as the primary point of contact for MIHE's external contacts.

Knowledge, Skills, Abilities and/or Competencies
  • Exceptional written and verbal communication skills and ability to interact professionally with a wide variety of community constituents.
  • Proficiency in office practices, procedures, equipment, with graphic design software such as Canva or the Adobe suite, and the Microsoft Office Suite.
  • Ability to write, edit, and proof articles for publication using AP Stylebook.
  • Ability to plan, coordinate, and oversee multiple projects with a calm and professional demeanor.
  • Strong attention to detail, initiative, and intellectual curiosity. Excellent organizational and time management skills.
  • Ability to apply and communicate administrative rules, regulations, and policies effectively to faculty, staff, and other stakeholders.
  • Ability to use discretion with confidential information and maintain confidentiality.
  • Ability to work independently as well as collaborate with team members and to establish and maintain effective working relationships with others.

Communications
  • Directly oversee all aspects of communications.
  • Collaborate across the Institute to produce graphic and written content that highlights the unit's programs, initiatives, accomplishments, faculty, students, and alumni for a variety of publications and platforms.
  • Monitor and post content for the Institute's website and social media accounts to ensure that content remains accurate, relevant, timely and is in alignment with UGA brand guidelines and policies.
  • Develop and implement an Institute-wide communications plan to ensure all external communications/posts are accurately distributed and tracked.
  • Work with internal and external stakeholders on collaborative media to promote partnerships.
  • Serve as MIHE representative to UGA Marketing and Communications and UGA Strategic Communications.

Engagement, Development, and Outreach
  • Develop and implement engagement and development plans for MIHE to encompass alumni, friends, and other partners.
  • Work closely with Institute faculty, staff, and students to develop and maintain connections with MIHE graduates, public service & outreach programs, and other external partners in alignments with the unit's vision and mission.
  • Develop expertise with the relevant university systems including GAIL to generate reports and propose plans for the Director and faculty to improve strategic decision making.
  • Create reports to track engagement and impact.

Event Management
  • Serve as the lead staff member to plan, coordinate, and implement special events related to alumni outreach (i.e., Homecoming), invited guests (i.e., externals speakers) and special event symposia and roundtables in alignment with university policies.
  • Collaborate with and assist Administrative and Academic Manager and other MIHE faculty and staff on other MIHE signature events, including but not limited to the McBee Lecture, Student Awards Luncheon, and recruitment events.
  • Act as a liaison between the department, vendors, and various UGA business offices throughout the process to ensure proper documentation is received and all UGA and unit policies and procedures are followed.
  • Serve as OneSource delegate for invited visitors to manage reimbursement, honoraria, and other special event expenditures as necessary.

Unit Representative
  • Field initial inquiries for unit visitors and other UGA personnel in-person, by email, by zoom, and by phone.
  • Manage the unit's central email account by responding to inquiries or delegating emails as appropriate.
  • Seek out and participate in professional development opportunities that generate efficiency and enhance the performance of job duties.
  • Conduct additional duties in support of the unit as needed.
