Essential Job Functions
  • The Facilities Services Supervisor will work closely with the Senior Facilities Services Manager and Associate Director of Operations in executing high-level service and a team approach to the daily operations of the Facilities Services department within the New York office.
  • This position requires an individual with excellent professional communication and team leadership abilities. Qualifying candidates will demonstrate strong competencies in project and time management and must possess a general knowledge of building repairs and maintenance (e.g., HVAC, plumbing, carpentry, electrical and painting). Qualifying candidates will demonstrate strong organization skills and expertise in providing high-quality support services, including their first-rate capability of identifying, analyzing, and problem-solving service-related issues.

ESSENTIAL FUNCTIONS
  • Receive and schedule daily job requests.
  • Assign and perform jobs in-house.
  • Schedule maintenance work with outside vendors.
  • Collaborate with property management on all facilities related requests and tasks impacting our space.
  • Coordinate and perform daily cleaning with facilities services staff.
  • Coordinate and collaborate with Guest Services team on Visitor Office readiness.
  • Prepare Facilities Services team schedule, accounting for scheduled absences.
  • Collaborate with the Senior Facilities Services Manager in preparing performance evaluations.
  • Compile and present job request/completion metrics to the Senior Facilities Services Manager and Associate Director of Operations.
  • Coordinates office moves, furniture move needs and rentals (including liaising with professional furniture moving company), and new hire arrival setups.
  • Coordinate training/mentoring for new team hires, and training for current staff on new equipment and software.
  • Collaborate with Guest Services, Hospitality, and Technology Support for internal and external events.
  • Assist in administering the firm's office space management software (Centerstone).

OTHER FUNCTIONS
  • Any other functions/duties as assigned by management.

Qualifications & Requirements

Education, Work Experience, Skills
  • High school diploma required. College degree preferred or equivalent work experience will be considered.
  • Qualifying candidates will have 5+ years in a facilities coordinator related role.
  • Effective leadership and coaching skills, a strong work ethic and will to demonstrate excellent written and verbal communications. Individual must be able to multi-task and be willing to work alongside the facilities team and other departments.
  • Candidate must be able to climb a ladder and lift 50 lbs.
  • Candidate must be able to use hand tools.
