DESCRIPTION

The Department of Medicine (DOM) is the largest department within the UC San Diego School of Medicine (SOM) and is responsible for fulfilling its teaching, research, and clinical missions. DOM employs approximately 500 salaried faculty, nearly 200 academic appointees, and more than 300 residents, fellows, and postdocs, supported by almost 1,000 staff members

Under general supervision of the Division Administrator, the Fellowship Training Program Director and the Division Chief, the Fellowship Training Program Coordinator has overall responsibility for the administration of the program. The implementation of all aspects of the program requires full knowledge of the professional goals of an accredited training program. This includes a comprehensive knowledge of Accreditation Council for Graduate Medical Education (ACGME) requirements. The Fellowship Program in Medicine Gastroenterology receives over 400 applicants, conducts over 40 interviews annually, and fills 15 available slots. Fifteen Fellows in various stagesof the program (General Gastroenterology, Research, Hepatology). The incumbent is responsible for managing the annual recruitment process using the Electronic Residency Application Service (ERAS). This includes receiving, screening, evaluating, ranking and scheduling interviews with the Recruitment Committee within a two month recruitment period. Incumbent compiles and maintains all fellow data, master rotation schedules, elective logs, personnel and payroll records, data required for ACGME accreditation and evaluation systems for both house officers and faculty. Manage the program budget to include reconciliation, travel, purchase orders, recharges andreimbursements. Design and generate monthly and ad hoc reports for statistical and administrative use. Responsible for coordinating and planning all meetings, events, and conferences. Serve as liaison between UCSD fellows and faculty and affiliated institutions, community physicians, and other agencies. Liaison between UCSD and Department offices and administration. Responsible for ensuring that fellows are kept abreast of licensing requirements, enrollment procedures and registration and application deadlines for in-training exams, American board exam, etc.

Applies acquired skills, process, and policy knowledge to support professional health education program learners. Coordinates program operations, which include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation.

MINIMUM QUALIFICATIONS
  • Six years of related experience, education/training, OR an Bachelor's degree in related area plus two years of related experience/training.
  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner. Must be able to communicate effectively in administrative meetings regarding all areas of the Fellowship - academic, fiscal, administrative, and management.
  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.
  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues. Demonstrated ability to quickly grasp new computer and web applications for various surveys, etc. Extensive PC and software experience to include Windows, Microsoft Office Suite (Word, Excel, PowerPoint) andInternet navigation.
  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
  • Previous experience in development of systems to track, monitor, and report programs and program compliance.
  • Demonstrate understanding of ACGME General Program and the ACGME Residency Review.
  • Demonstrated analytical, problem-solving, and decision making skills. Ability to research problems, identify and articulate issues, evaluate options, consider consequences, recommend and implement solutions.
  • Demonstrated understanding of components of the medical education process, including undergraduate medical education (medical school), postgraduate residency training, and continuing medical education after residency.
  • Demonstrated ability to present ideas with tact, diplomacy and good judgement to a broad range of people.
  • Demonstrated experience with online scheduling and website maintenance tools.
PREFERRED QUALIFICATIONS
  • Knowledge of UCSD personnel policies and procedures and appropriate appointment forms and processes.
  • Knowledge of Ecotime, Concur, Oracle Cloud, ERAS, and MedHub software.
  • Knowledge of UCSD travel/accounting/purchasing processes, tools, and forms.
  • Bookkeeping/accounting/fiscal management skills. Ability to successfully manage a complex budget with many differing funds.
