Pay Range

$76,080 - $94,440 Annually

Job Description

We have an opening for a Business Operations Specialist. You will work independently to support staff members within the Field Intelligence Element (FIE) following established procedures to develop, approve, implement and provide oversight for a wide range of advanced and diverse administrative and operational activities. We are looking for a well-organized strategic thinker that can prioritize multiple tasks with the ability to change gears constantly to meet the needs of the team and our customers. This position is within the Field Intelligence Element (FIE) Operations organization within the Global Security (GS) Principal Directorate.

You will
  • Coordinate and oversee the space activities for the team including move coordination, facilities coordination, FIE team coordination, quarterly clean up, FIE multiuser rooms, developing processes, documenting procedures, communication, and scheduling.
  • Develop and plan a variety of administrative, operational, and organizational requirements and activities and serve as primary point of contact for the FIE Operations team administrative matters.
  • Research, analyze, and implement internal administrative procedures and systems to enhance efficiency and effectiveness of administrative operations.
  • Lead and coordinate various administrative projects and initiatives; collect, validate, and interpret business, operational and/or organizational planning data in support of strategic and/or workforce planning activities.
  • Provide support to the FIE Information System Security Manager, FIE Information IT Manager, Special Security Manager and their direct teams. Support new hire onboarding.
  • Serve as a resource for FIE Operations.
  • Provide backup support to the Executive Assistant for the FIE Director and the Assurance Administrator.
  • Perform other duties as assigned.

Qualifications
  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire and the ability to obtain and maintain a SCI level access.
  • Experience coordinating and participating in administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional area.
  • Understanding of basic principles of personnel administration, policies and procedures and of HR compliance requirements for personnel administration.
  • Ability to develop and prepare reports for review and strategic decision making.
  • Experience solving problem and the decision-making skills necessary to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
  • Experienceleading administrative projects effectively and ability to understand, interpret, and apply operational related policies and procedures; advanced organizational skills, attention to detail, accuracy, and follow through.
  • Effective interpersonal skills with the demonstrated ability to handle sensitive and confidential issues with tact, discretion, and mature judgment.
  • Advanced written and communication skills necessary to effectively interact with all levels of personnel internal and external to LLNL, including accurate editing and proof-reading skills.
  • Broad knowledge of personal computers and associated software particularly MS Office applications and experience formatting complex procedures and reports for signature and transmittal.
