Why does the job exist?

To assist with the development, oversight, management, and administration of all Southeast Area Field Operations budgets, encumbrances, contracts, price agreements, purchases, per diem reimbursements, and federal aid expenditures. Also required to ensure that the Northwest Area Field Operations adheres to all procurement procedures and regulations and reconciles any discrepancies or issues with the Administrative Services Division. Position will provide back-up clerical support to the division's administrative secretary and assist with customer service by responding to requests for information and assistance by all relevant publics (internal and external) as assigned.

How does it get done?

*Processing and monitoring purchases and encumbrances and tracking and reporting expenditures. Monitoring all division budgets.
*Administering all contracts and price agreements by ensuring proper forms are used, timelines are considered, and available budget and encumbrances are from appropriate line items
*Processing all division employee per diem reimbursements by working with staff on timing, accuracy, and allowances for proper submission of requests
*Providing assistance to division administrative secretary with clerical tasks and fielding public requests for information or assistance as needed or assigned by answering incoming phone calls, talking with walk-in customers, and communicating with various Department employees

Who are the customers?

Internal customers are Department staff. External customers include hunters, anglers, trappers and other members of the public with an interest in New Mexico's wildlife resources.

Ideal Candidate

The Idea Candidate would have experience in the following:

1. Experience using SHARE Financials (FIN)
2. Experience creating/processing POs and Per-Diems
3. Experience using Microsoft software (Word, Excel, Power Point, etc.)
4. Experience with Adobe Acrobat
5. Experience in Customer Service
6. Knowledge of NM Hunting, Fishing, and Trapping rules/regulations

Minimum Qualification

High School Diploma or Equivalency and two (2) years of experience in bookkeeping, accounting and/or finance. Substitutions Apply. See Substitution Table below.

Employment Requirements

Pre-employment background investigation is required and is conditional pending results. Must possess and maintain a valid Driver's License soon after candidate is hired, but NOT required when they apply. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.

Working Conditions

Work is performed in an office setting and requires extensive usage of a computer. Walking, standing, lifting, bending, and at times, some lifting of boxes under 25 pounds. Some Travel will be required along with occasional weekend hours and working in an outdoor setting.
