Reporting to the Director, the Front Office Supervisor is responsible for coordinating the staffing and day-to day operations for the practice. The Administrative Lead works collaboratively with practice leadership and providers to ensure optimal operating efficiency, provider productivity and patient satisfaction.

Primary Responsibilities:

  • Work collaboratively with the Director in support of the business and clinical objectives of the practice
  • Oversee front office staff
  • Conduct or participate in regular scheduled staff communication activities: Daily huddle, bi-weekly and/or monthly staff meetings
  • Staff Training: Conduct new hire and periodic ongoing training for front office staff and works with Clinical Lead to coordinate and manage new hire and ongoing training for medical assistants
  • Staff Time Management: Coordinate staff work schedules, and ensures accurate time recording; Manage staff PTO requests
  • Manage day to day coverage needs, including same day reassignment of staff when there are call outs: Participate with Director in new staff selection, hiring and on-boarding, and provides input on performance management to Director
  • Responsible for oversight and improvement of front office processes (registration accuracy, eligibility processing, scanning accuracy, segregation of duties and roles) in conjunction with corporate changes and/or changes
  • Work with Operational Excellence to assess needed changes, redesign and reinforcement of staff and provider tasking functions, redesign of front office functions and roles to address growth
  • Oversight of critical processes: PCI compliance across locations, working with finance to improve deposit accuracy and timeliness and patient Safety measure compliance
  • Coverage: Provides front desk coverage when necessary
  • Assist in the handling of patient complaints and respond to billing questions

Years of post-high school education can be substituted/is equivalent to years of experience.

Required Qualifications:

  • High School diploma or GED
  • 2+ years of medical office staff management and office management duties
  • Experience with patient financial and scheduling systems
  • Experience with electronic health records

Preferred Qualifications:

  • Proven solid written and oral communication skills

California Residents Only: The salary range for California residents is $48,300 to $94,500 annually.
