Job Description

PURPOSE OF POSITION

Under the Trauma Program Manager's direction, the Trauma Registrar collects/abstracts required state and national trauma data bank elements from the medical record and enters them into the trauma database on all trauma patients meeting state or national trauma inclusion criteria. Analyzes data for accuracy and validates for submission to the state and national databases promptly. Interprets data and prepares reports for performance improvement, support of related programs, administrative planning and marketing, research purposes, and regulatory visits. As state and national regulations require, participate in local, state, and national meetings and conferences. Acts as a resource for others in the abstracting and coding of trauma injuries. The Trauma Registrar maintains the confidentiality of the registry data and provides registry data as appropriate for research.

AREAS OF RESPONSIBILITIES

EPIC abstraction; Trauma registrar; Trauma research; Trauma Quality Assurance and Performance Improvement; Assistant with collection and analysis of Bariatric Surgery Data (approximately 0.2fte or one day a week)

SUMMARY OF DUTIES AND RESPONSIBILITIES:

The trauma Registrar performs data collection demographics and coding of clinical courses and follow-up data from all sources into the trauma registry database. Interacts with physicians, nurses, and other members of the trauma team. Will keep the registry current within 60 days of patient discharge. Determines appropriateness of patient entry into the Trauma Registry based on guidelines in the American College of Surgeons "Resources for the Optimal Care of the Injured Patient" NTDB and the trauma program inclusion criteria
  • Provides high-quality data entry by abstracting required state and national trauma data elements from the patient chart in real-time and retrospectively.
  • Participates in quality assurance, data validation, and improvement activities to ensure the accuracy of data collection and timely submission of data according to the State Trauma Registry and the American College of Surgeons Optimal Resource Document for Trauma Centers.
  • Understands mapping concepts and validates mapping of registry software for TQIP, NTDB, and the state. Resolves routine coding issues/problems and appropriately seeks assistance from the Trauma Program Manager or Trauma Registry vendor when appropriate.
  • Maintains patient confidentiality, including confidentiality of sensitive hospital performance improvement information.
  • Participates in Trauma Performance Improvement and ACS Committee meetings, including 8 hours per year of continuing education as required by the American College of Surgeons.
  • Recognizes patterns of mechanism and injury during case abstraction in order to contribute to opportunities for injury prevention and community safety.

Minimum Qualifications
1. Possession of a Registered Health Information Administrator (RHIA) credential from AHIMA and two (2) years of satisfactory experience in coding and abstracting medical records in a recognized hospital or health care organization, of which one (1) year has been in a supervisory and/or administrative capacity; or
2. Possession of a Registered Health Information Technician (RHIT) credential from AHIMA and four (4) years of satisfactory experience in coding and abstracting medical records in a recognized hospital or health care organization, of which two (2) years have been in a supervisory and/or administrative capacity; or
3. Possession of a valid certificate as a Certified Coding Specialist (CCS) from AHIMA and six (6) years of satisfactory experience in coding and abstracting medical records in a recognized hospital or health care organization, of which three (3) years have been in a supervisory and/or administrative capacity; or
4. A satisfactory equivalent of education and experience.
