SUMMARY OF POSITION:

Provide support for the Absence Management programs, including working directly with HR Staff, vendors, management and employees of PSH.

ESSENTIAL DUTIES:

  • Support administration of all leave programs Respond to participant inquiries regarding leave administration, including FMLA, LOA, STD/LTD, and Workers' Compensation by providing first level customer and transactional support particularly those that are escalated from the HR Solution Center.
  • Process weekly vendor leave status reports by ensuring employee leave is accurately reflected in the Penn State Health Global Human Resources (GHR) system. Update employee status based on approval/denial of leave and/or disability. Return employees promptly from leave in GHR.
  • Manage military leave process by working with employee, manager, and payroll to obtain appropriate for leave and military leave hours uploaded in the Penn State Health Workforce Management (WFM) system.
  • Identify employees reaching expiration of leave, send out leave expiration letter to employee, manager and Employee Relations Specialist.
  • Track status and provide follow-up to manager and Employee Relations.
  • Process Workers Compensation (WC) incident only claims. Determine OSHA recordable cases.
  • Work with the Benefits team to identify employees approaching expiration of leave.
  • Complete Day 2 processing of WC incidents.
  • Create electronic employee file. Evaluate reports to determine accuracy, completeness and adequate information is submitted by reviewing and documenting medical reports, manager statements, department investigation and other documentation.
  • Complete supervisor/employee follow up for injury data. Ensure timely processing of workers' compensation injury reports and claim submission to TPA/insurance carrier. Monitor incomplete Injury Reports, follow-up with management.
  • Correct claim errors from the daily interface and resubmit claims, if necessary. Process monthly leave billing, in a timely fashion, in conjunction with the Special Billing Department and working with Benefits Team, if necessary.
  • Provide support to manager, team lead and leave specialists for annual and special projects. Maintain an understanding of leave administrative related policies, practices, and interfaces, as well as FMLA regulations, PA WC Act, and OSHA. Notifying the leave specialists/ team lead of issues as needed.
  • Schedule meetings, process incoming/outgoing mail, and other administrative tasks as required Monitor leave of absence team email accounts and reply to inquiries as required.
  • Support the annual open enrollment process. This includes but is not limited to scheduling rooms, vendor invites, ensuring accuracy in PSH communications, and assisting employees at the Benefit Fairs, in person and virtual.


MINIMUM QUALIFICATION(S):

  • High School Diploma or equivalent education
  • Minimum one (1) year related experience


PREFERRED QUALIFICATION(S):

  • Bachelor's degree preferred
  • One (1) year HR experience or equivalent HR coursework preferred
  • Working knowledge of leave administration with a focus in FMLA and workers' compensation preferred
