Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. The HR Assistant is a part time position (29 hours per week) that supports Human Resources functions. Primary responsibilities include support and coordination of recruitment and onboarding of new employees, general HR administrative tasks and support, records management, and assisting with HR projects and initiatives including statistical reporting

RESPONSIBILITIES :

Recruitment, Hiring, and Onboarding:


  • Provides support to recruitment activities including initiating job postings through Applicant Tracking System and updating candidate search status through the process, coordinating with search committees to schedule and organize candidate interviews, processing candidate travel reimbursement, and other tasks related recruitment activity
  • Assists in the administrative tasks with onboarding and offboarding processes, ensuring proper documentation and procedures are followed
  • Provides support with the completion of all necessary administrative tasks and documentation to hire wage and non-wage employees, in alignment with all Germanna Community College processes, including entering assignment details and related information into associated systems for accurate record-keeping.
  • Maintains records and documentation involved with the staff hiring process to ensure records are accurate.
  • Aids with VCCS Shared Services weekly tracking reports of active search processes
  • Aids with search committee training records in partnership with Human Resources
  • Ensures communication is provided in an accurate and timely manner with a high level of customer support, attention to detail, and a collaborative focus
  • Ensures compliance with federal and state regulations and internal Germanna Community College policies concerning employment.


Departmental Duties:


  • Actively supports and complies with all College policies, HR regulations and departmental values and goals
  • Provides support with planning and implementation of employee periodic internal audits, various department projects, etc. as needed
  • .Attends regularly scheduled divisional and team meetings.
  • Maintains internal employee files.

  • Demonstrated verbal and written communication skills for effectively interacting with candidates, hiring authorities, and stakeholders.
  • Ability to exercise judgement and initiative while maintaining high level of confidentiality.
  • Ability to work collaboratively in a team-oriented environment.
  • Experience with or willingness to learn artificial intelligence tools.
Additional Considerations
  • Previous working experience in human resources, particularly with candidate recruitment.
  • Experience with Applicant Tracking and Human Capital Management software.
  • Experience in higher education setting or with other Commonwealth of Virginia agencies.
  • Knowledge of industry standard HR policies and procedures.
  • Adaptability skills for managing changing priorities.
  • SHRM / HRCI certification.
