Schedule: Full-Time

Shift : Monday-Friday (7:30am-4:00pm)

The role you'll contribute:

The Specialized Imaging Intake Coordinator is a physician liaison between the physicians' offices / Patients and the Imaging team. They are responsible for maintaining positive relationships with the offices and makes sure that any concerns or needs they may have are met to the best of their ability. By meeting the needs of the offices and escalating any operational issues that need to be fixed the Intake Coordinator is growing the imaging referral base. The Coordinator is responsible for managing the scheduling of procedures such as, MRI / CT General Anesthesia for Pediatrics and Adults, MRI / CT Sedation, all pre-surgical stealth exams, Gamma Knife, UFE's, Cardiac CT Angio all biopsies and Angio procedures, and any radiologist consults. The Coordinator is responsible for ensuring timely follow up with the Physicians and Patients regarding their scheduled appointment and keeps both informed of scheduling issues as they arise. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

Physician Liaison: Keeps a close working relationship with all referring physicians' offices and ensures that their needs are met in order to keep and obtain new business. Makes sure to inform physicians of any conflicts in scheduling their patients or additional availability to get their patients in sooner. Works with offices on any process issues and escalates any operational issues to management as soon as possible.

Intake Team Management : Provides leadership over the team responsible for ensuring accurate and complete scheduling, verification of benefits, pre-authorization, and pre-certification of imaging exams. Trained and capable of completing all team duties where needed. Serves as the supervisor of other intake team members and provides guidance on training and performance issues. Serves as the knowledge leader for imaging specific terminology and process.

Specialized Scheduling : Manages the scheduling of all specialized procedures done at the Orlando campus. This includes, but is not limited to, MRI / CT general anesthesia (GA not scheduled by cc 9338), MRI / CT IV sedations, all pre-surgical stealth exams, Gamma Knife, UFE's, Cardiac CT Angiography, Interventional Radiology consults and UFE's. Assesses the need for general anesthesia for adult and pediatric MRI patients. Follows up with all patients prior to their procedure in a timely manner and ensures they are prepped for their appointment.

Scheduling as needed: Serves as a back-up to the Intake team as a seasoned scheduler providing scheduling service during peak volume times. Creates patient accounts, schedules appointments and pre-registers patients striving to gather and validate all required information on a single phone call.

Skills: Maintains skill level and knowledge of imaging trends by reading, attending training sessions and completing study materials provided by Advent Health and disseminates information to the Intake team.

Customer Service: Delivers excellent customer service fulfilling the Advent Health Mission of extending the healing ministry of Christ. Pleasant tone of voice, friendly and helpful attitude, keeps conversation focused on customer. Manages calls and issues promptly and efficiently. Serves as the final intake supervisor to resolve issues escalated from other team members. Identifies opportunities for improvement and expansion of new physician relationships.

Qualifications
The expertise and experiences you'll need to succeed :

KNOWLEDGE AND SKILLS REQUIRED :

• Outstanding oral and written communication skills

• Advanced computer skills (MS Windows / MS Office, etc.)

• Understanding of health insurance authorization processes

• Familiarity with radiologic procedures, terminology & modality requirements

KNOWLEDGE AND SKILLS PREFERRED:

• Scheduling experience

• Healthcare financial services experience
