The IT Department Operations Manager will provide advanced-level administrative support to the Office of the CIO. They will manage administrative and operational processes for 140 individuals within the IT/IS organization around planning and scheduling events, facilitating internship programs, onboarding process for new hires, facilitating IS management meetings, tracking expenses, professional development tracking and following up on miscellaneous CIO priorities.

Responsibilities:
  • Cheerleader for Information Systems (IS) embodying our culture and sense of community amongst the team.
  • Recommend, plan and execute on IS events such as town halls, summer/winter events, IS management dinners, etc. Facilitate event planning meetings, contribute ideas as part of the discussion, identify venues, coordinate tasks with event committees, negotiate event contract and budgetary oversight.
  • Manage onboarding process of new hires across IS departments to ensure space, supplies and other needs are met. Ensure onboarding process is implemented for each hire in terms of orientation meetings, firm overview, introductions, etc.
  • Schedule key strategic meetings - Technology Committee, Technology/Risk and IS management meetings. Attend IS management meetings to manage agenda, scheduling, minutes and action items.
  • Manage special projects, such as the Winterns internship program - act as key liaison for interns during internship with IS groups on their projects.
  • Support CIO interactions with partners, vendors and others via managing the phone, updating calendar, scheduling meetings, making travel arrangements, managing business contacts and miscellaneous administrative needs.
  • Confidante of CIO in handling confidential information such as performance management planning and customer service issues
  • Manage IS documentation/content such as contracts, intranet, organization charts and job descriptions
  • Coordinate large and small scale projects, provide guidance and oversee junior staff and/or consultants.
  • Participate and be knowledgeable in the use of Everbridge - the firm’s emergency announcement system.
  • Communicate with customers to ensure their needs are met and that they are satisfied with the quality of service provided.
  • Perform other departmental duties as needed.


Required Skills:
  • Bachelor’s degree preferred and/or ten years of experience providing executive administrative support to a senior executive or senior management team.
  • Handle sensitive issues and correspondence with confidentiality and discretion.
  • Communicate effectively, orally and in writing, and to compose, prepare, proofread, and type correspondence to various external and internal sources.
  • Operate with a high degree of independence, initiative, accuracy with evaluating data, and a strong acumen for proactively searching for solutions for known issues.
  • Problem-solve without supervision and to initiate and complete projects that serve to fulfill an executive or team’s projects.
  • Demonstrates skill in coordinating and managing complex office processes and support functions.
  • Possession of strong and effective interpersonal skills with an understanding and experience with providing quality customer service.
  • Exceptional organizational skills and attention to detail.
  • Able to manage time and resources to meet or exceed established deadlines.
  • Excellent leadership, written, interpersonal and verbal communication skills.
  • Capable of working independently and work productively as a team member.
  • Ability to multitask.


This is a hybrid role which requires in-office attendance in accordance with the schedule set forth by the department. A hybrid schedule is an essential function of this role.

Salary:
  • $130,000 - $140,000. Paul, Weiss offers competitive compensation and benefits packages. The firm considers a number of factors when determining compensation, including, but not limited to, education, years of experience, levels of experience, competency levels and other relevant skills and qualifications.
