POSITION : Administrative Assistant for Allied Health Division

REPORTS TO: Dean for Allied Health

SALARY RANGE : Upper $30's to Low $40's depending on education, qualifications, and experience

EFFECTIVE : This position is available now

RESPONSIBILITIES:

Under general supervision, performs and completes administrative tasks and assignments associated with the Allied Health Division including:

• Provides support to the Dean for Allied Health including scheduling of meetings with access to confidential information note taking.

• Review and maintain confidential communications.

• Prepare monthly payroll Excel spreadsheet.

• Prepares and manages hiring and payroll process for the Allied Health Division

• Assist with processing of faculty applications and hiring procedures.

• Communicate with new hires their responsibilities in getting cleared to work, sending in all official transcripts and certifications.

• Assist with completion of schedules, Letters of Intent, faculty scheduling, room assignments, course schedules.

• Calculate adjunct hours to prepare and manage letters of agreement each semester.

• Assist in planning and organizing division meetings.

• Create and submit purchase orders as needed

• Send out emails to gather pertinent information from programs, review, prepare, assemble, process as needed

• Respond to departmental inquiries, questions or requests

• Enter data from forms into existing systems (i.e. Banner, KMS)

• Monitor use of and maintain office supplies

• Maintain and safeguard the confidentiality of documents, general files, and other pertinent information.

• Conducts research using a variety of sources to complete, prepare, assemble, process, and/or generate reports and other documentation

• Provides support to Allied Health programs and Program Directors as needed.

• Other duties as assigned by supervisor

MINIMUM QUALIFICATIONS

Associate's degree *and* one (1) year of work-related experience; OR a High school diploma or equivalent *and* three (3) years related work experience.

TECHNICAL COMPETENCIES

• Ability to work with minimal supervision

• Strong organizational and customer service skills, take initiative, and learn new concepts

• Demonstrated attention to details and accuracy

• Demonstrated proficiency and accuracy in data entry using Banner and KMS software systems

• Proficient computer skills in Microsoft Office, spreadsheet applications and other job-related software programs

• Ability to operate different office equipment, such as telephone, fax machines, copiers, scanners, shredders, etc.

• Knowledge of modern office practices and procedures

• Effective skill in interpersonal relations and in dealing with the public

• Effective oral and written communication skills

• Ability to understand and interpret policies and procedures and exercise good judgement

• Ability to maintain confidentiality and safeguard information

• Ability to be flexible, adaptable and function under pressure

PREFERRED QUALIFICATIONS

• Prior work experience in a postsecondary educational environment

• Post-secondary training or degree in a medical discipline or closely-related field

• More than three (3) years of related work experience
