Job Summary

This position is a Legal Administrative Assistant position on the Claims / Litigation team within the Patient Safety Department. In addition to interfacing with the team and attorneys, this position provides support for preparing claims review materials and assuring timely response and scheduling commensurate with case /court deadlines. The ideal candidate is one who enjoys working on a team but at the same time is also comfortable working independently and under a very reasonable amount of pressure caused by deadlines. You will be asked to prepare and maintain legal documents and to administer multiple cases with deadline-sensitive case management requirements. You may be required to work sitting or standing at your desk for four or more hours per day. Reports and is responsible to the Manager of Risk and Insurance.

Essential Duties:

  • Order public records
  • Prepare and maintain a calendar system
  • Process and coordinate all incoming and outgoing mail (certified and other)
  • Prepare client folders with appropriate documents needed prior to attorney or paralegal meetings
  • Maintain an organized physical and electronic filing system for important client documents
  • Assemble executed documents into professionally organized binders with electronic copies
  • Follow proper procedure for opening and closing of physical and electronic files
  • Correspond with attorneys and paralegals to obtain pertinent information via phone, email, or in-person
  • Completes discovery for cases
  • Generally assist team members


Other Responsibilities:

  • Conduct legal research on a variety of topics.


Qualifications

  • High School Diploma with at least 3 years' experience in a law practice
  • Associate degree at least 2 years' experience in a law practice
  • Bachelor's Degree least 1 year experience in a law practice
  • Strong understanding of medical malpractice terms
  • Technological skills including, but not limited to, Microsoft Word, Excel, PowerPoint, Adobe, Origami Document Management System
  • Superior organizational skills
  • Excellent written and verbal communication skills as well as analytical, problem solving, and decision-making skills
  • Ability to work independently and maintain a high degree of confidentiality
