Role Objectives:

The Manager, Contract Administration will support Moose's VP, Global Licensing by managing all contract workflow and licensor relationships in the context of contract requirements. The primary role is to ensure that all contractual obligations are met during the contract period and that all contracts are closed with the appropriate information. The role will be required to either directly address operational gaps with the business leadership or escalate to the Global Head of Licensing if gaps may result in non-compliance. The Manager will work internally with the Moose Licensing, Marketing, Legal, Royalty Accounting, MFE, and QA.

Qualifications:

• Minimum 5 years of experience in Licensing or contract management experience.

• Relevant tertiary qualification preferred (e.g. BA of Marketing).

Responsibilities:

Spearhead Contract Compliance
  • Identify contract and operational requirements in our licensing contracts and ultimately ensuring no gaps to compliance.
  • Provides interpretation or operational requirements in support of implementation of contracts.
  • If operational or information gaps are identified, directly address with the respective business units to recommend remediation or escalate to the VP, Global Licensing if gaps will result in non-compliance.


Manage Contract Workflow/Data Repository
  • Track and manage contract workflow throughout entire life cycle within Moose with legal, finance, marketing, and QA.
  • Coordinate and ensure receipt, filing, and distribution of New Customer forms, W9s, Insurance, Trademark Letters, NDA's, Manufacturing Agreements, Termination agreements/Letters, and other contractual correspondence for all License Agreements or new business partnerships.
  • Coordinate forecasting deliverables with GBT, ultimately provided by business units, and ensuring all forecasts are sent to Licensors on time and archived appropriately.
  • Maintain tracking spreadsheets and organization of the shared drive, with the filing of Agreements, Forecasts, Correspondence, etc. for all Licensed Partners.
  • Provide monthly contract updates to key stakeholders at Moose, including highlighting key contract details such as deliverables or expiration dates.
  • Ensure that signed contracts are communicated and distributed to all key stakeholders, including distribution of agreement summaries.
  • Assist with reviewing deal terms on initial Legal draft for completeness and accuracy.
  • Additional tasks as assigned and directed by VP, Global Licensing and in-house counsel.
  • Maintain and improve project and contract databases and management systems.
  • Ensure contract close-out, extension or renewal.


Cross-Functional Partnership
  • Provides regular updates to management, attorneys, and the business about the status of new agreements and contract renewals, and related matters.
  • In partnership with Legal, assign cross functional roles to contract checklist for each new License Agreement.
  • Work with Royalty Accounting to continuously maintain tracking of MG's, alerting VP, Global Licensing and GBT of potential shortfalls, including revenue recognition.
  • Assist Finance and Legal with gathering information to support audits.
  • Work with Licensing Approvals, Legal, and MFE to close out expiring contracts and associated requirements, including dissemination of IP in possession and donation or destruction of leftover inventory.
  • Assist VP, Global Licensing in any inbound related projects, including reaching out for meetings, scoping new opportunities as needed.
  • Update Legal and VP, Global Licensing with Work-In-Process list.
  • Support our international business and accommodate meetings with partners and stakeholders in international time zones from time-to-time.
  • Act as internal/external point-of-contact for payment and deadline-related questions.


Partner Relations
  • Proactively communicate with partners on contractual matters, ensuring timely responses to questions or issue resolutions, and skilfully juggle constantly changing priorities. Must function well under pressure.
  • Assists VP, Global Licensing as point of contact for all matters regarding contracts.
  • Assists with the development of reports and presentations, as well as any other ad hoc projects and duties as required.
  • Provides administrative support as needed.

Work Hours

8:30am - 5:30pm, Monday to Thursday

8:30am - 3:00pm, Friday

30-minute unpaid lunch break each day.

Plus, reasonable additional hours due to multiple time-zones.

Moose also provides flexible working options.

Salary Band

USD $90,000-$105,000

• While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer, telephone and other office productivity machinery, may need to reach, stoop, kneel to access items

• Must be able to sit at a computer terminal for an extended period of time

• Frequently communicates with other employees and third-parties, must be able to speak clearly and exchange accurate information.
