Preferred Qualifications
  • Proven experience with supervision, budget management, strategic planning, and assessment.
  • Five or more years of experience in printing operations or related field.


Position Summary

Reporting to the Director of the Tate Student Center, the Manager of Print & Copy and Passport Services is responsible for overseeing the comprehensive operations of Tate Print & Copy Services (P&CS) and Passport Services. Primary responsibilities include providing significant leadership in managing administrative tasks, developing policies, and creating operational and training materials. The Manager supervises the processing of U.S. Passport applications, ensuring compliance with federal regulations and comprehensive staff training. They also oversee the operation and maintenance of all equipment, direct the production of printed and graphic arts products, and supervise the creation of marketing materials for P&CS and Passport Services.

Additionally, the Manager plans, organizes, and manages the work of full-time and student staff, fostering an engaging and inclusive work environment while ensuring adherence to university policies. This position directly supervises three full-time staff members and serves as a member of the Tate Student Center Leadership Team.

Position involves use of a P-Card.

  • Proficiency in the operation and maintenance of print and copy equipment
  • Knowledge of graphic design standards and printing processes
  • Ability to manage order system software, institutional finance systems, and digital systems related to area

Oversee all Tate Print & Copy and Passport Services Operations:
  • Serve as the lead professional for Print & Copy Services (P&CS).
  • Supervise and participate in processing of United States Passport applications in accordance with federal regulations. Ensure staff members are fully trained on all passport policies and procedures.
  • Manage administrative tasks associated with the Print Shop Manager position.
  • Create relevant operational and/or training materials; develop policies that are in-line with current best practices and are accurate and appropriate.
  • Oversee the operation of all equipment within Print & Copy Services and Passport Services.
  • Oversee the development and production of printed and graphic arts products.
  • Oversee the development of all marketing materials for the Print & Copy Services and Passport Services.
  • Ensure front-line staff are effectively meeting the needs of customers through a variety of evaluation methods (observation, customer feedback, etc.).
  • Serve as back-up for operation of equipment as needed.

Duties/Responsibilities

Staff Supervision & Leadership:
  • Plan, organize, review, and supervise the work of six full time staff, and student staff.
  • Recruit, hire, train, schedule, and evaluate full-time staff.
  • Actively participate in a promote the engagement, development and retention of each staff member.
  • Update staff position descriptions and work standards annually.
  • Ensure staff adhere to university and departmental policies.
  • Address personnel issues directly, in a timely manner, and in accordance with university and departmental policies.
  • Serve as a member of the Tate Student Center Leadership Team.

Duties/Responsibilities

Budget & Financial Management:
  • Oversee the billing, purchasing, and budget processes for P&CS.
  • Ensure invoices are ready for processing within two weeks of service performed and/or product(s) purchased.
  • Monitor and reconcile account status reports on a monthly basis to ensure accuracy of all accounting processes and procedures.
  • Provide budget updates and reports to Associate Dean of Students as necessary.
