Under the direction of the HIM Management Team and the HIM ROI Supervisor, the HIM Release of Information Specialist is responsible for the processing of requests for Protected Health Information in accordance with organizational policies, HIPAA, State and Federal regulations. Required to maintain confidentiality, privacy and security of all patient health information.Exceptional customer services skills are essential for this position for assisting internal and external customers. Effective verbal, interpersonal and written communication skills and ability to work independently

Job Description

Respond to and coordinate the medical record requests for protected health information from patients, physicians, insurance companies, attorneys and other requestors. Ensure that such information is disclosed in accordance with applicable State and Federal statutes. Understanding of healthcare law and regulations as it pertains to legal documents such as Adoption, Custody, Guardianship, Health Care Proxy, Living Will, Power of Attorney, Search Warrants and the Cures Act. Managing Release of Information for a hospital and ambulatory sites within South Shore Health.
  • Receive and process priority requests for patient health information in accordance with HIM workflows, SSH policies, the state/federal laws.
  • Required to enter and process requests for release of information into EPIC Release tracking module.
  • Responsible for the accepting served subpoenas, court orders and warrants.
  • Coordinates and reconciles the retrieval of offsite medical record hard charts according to established procedures.
  • Maintains confidentiality and security of protected health information.
  • Management of sensitive PHI under 42 CFR in compliance with Federal and State Regulation Requirements.
  • Processes important release EMR System Notification for clinical and support staff knowledge according to established HIM ROI workflow.
  • Management of third-party invoicing and payment portal.
  • Legal Medical Billing Request coordination and processing.
  • Responsible for the processing of patient disability requests.
  • Management and completion of patient transfer process out of the Health Systems Ambulatory Primary Care Division
  • Monitoring various HIM MS Outlook Email Inboxes, Voicemail Inboxes
  • Epic InBasket Message review, response and completion.
  • Attaching and routing completed patient forms for care coordination.
  • MyChart Patient Portal record request management.
  • Answers telephone calls regarding medical record questions in a friendly and knowledgeable manner.
  • Oversight of incoming Business Office postal mail
  • Oversee record amendment request submitted to HIM
  • Assists with HIM department tasks and knowledge of workflows for coverage purposes as required.
  • Adheres to and follows established HIM downtime policies and procedures.

Essential Requirements: RHIT Associates Degree or 2 or more years Release of Information experience. Medical Terminology, Knowledge of federal and state laws and regulations pertaining to patient confidentiality. Familiarity of Joint Commission, CMS, DPH documentation and regulations. Primary location for this position is Norwell, MA. Computer Skills; Microsoft Office Suite, Epic, MediTech, Scanning experience, electronic faxing, electronic timekeeping, electronic phone queue utilization.
