Summary

This is position is located in San Diego, CA under the NRSW NAF Procurement Office. This position supports all of N9 and reports to the NRSW Regional Procurement Manager. The incumbent serves as the Procurement Management Assistant for all administrative requirements. The primary function of the incumbent of this position is to perform administrative duties and support to Regional Procurement Office staff and field activities with NRSW Procurement Administrative functions.

Duties

  • Request and Create SAP Vendor #'s via CNIC NAF Accounting Section.
  • Ensure all credit card invoices processed from the Regional Procurement Office are acknowledged by vendor and site.
  • Process all invoices for the Regional Procurement Office and coordinate with the Accounting Department for payment in a timely manner.
  • Maintain payroll data and enter data as required into NAF payroll system, KRONOS, for the Regional Procurement Office.
  • Maintain BPA Authorized Callers list for all ten NRSW Installations and Regional Support Offices.
  • Maintain Purchase Request Log via the purchaserequest@mwrsw.com email address; pull and assign purchase request to Regional Procurement Agents and Contract Specialist, ensure PR Log is updated and run reports for the NRSW Regional Procurement Manager.
  • Arrange travel and travel orders for all travel for the Regional Procurement Office.
  • Maintain electronic files to include but not limited to; Regional purchase request log, standardize procurement templates, Internal Standard Operating Procedures, standardized procurement forms, etc. on the NRSW Regional Procurement Share Drive.
  • Prepare correspondence as necessary for the NRSW Regional Procurement Manager.
  • Incumbent is expected to prioritize daily duties to maximize effectiveness and efficiency.

Conditions of Employment

  • Must meet Federal Employment suitability requirements and successful completion of background investigation. Background Investigations are conducted using fingerprint identification and completion of background inquiry forms.
  • Must successfully pass the E-Verify employment verification check. Any discrepancies must be resolved as a condition of employment.
  • The employee works in an adequately lighted and ventilated office environment.
  • The work is primarily sedentary in nature.
  • Typically, the employee sits conformably to do the work; however, there will be some walking, standing, bending or carrying of items weighing no more than 40 pounds.


Qualifications

Incumbent must be familiar with the NRSW and Navy organization and thoroughly informed administrative aid office procedures. Incumbent must be able to work with minimum supervision. Incumbent must be capable of proceeding with the necessary office work including, but not limited to Microsoft Office, SAP, KRONOS without specific directions.

Incumbent must possess tact, sound judgment, initiative, and the ability to work with other personnel within the Section.

In addition, to being fully competent professionally, the incumbent must also possess the ability to express themselves in an affable and courteous manner in correspondence, telephone and personal work contacts, thereby enhancing the public's opinion of the Navy and NRSW.

Individual must have at least two years of work experience or a combination of education and experience that demonstrates the ability to perform the duties of the position.

The person must be qualified in personal computer work and have a strong working knowledge with Microsoft Office (Word, Excel, Power Point, Outlook etc.), Adobe Reader. Familiarity with SAP and other software products that the Section utilizes is a strong plus.

Knowledge of office file arrangement and the purpose and content of documents in the file, and ability to file and retrieve information and maintain suspense records in accordance with office filing procedures,

Incumbent must be skilled in dealing with a variety of people under difficult circumstances including pressure situations where accurate information must be provided rapidly with little or no notice, capable of proceeding with the necessary office work without specific direction, Additionally, must have the ability to take the initiative to make sure all tasks are performed in a timely and accurate manner and improve our business processes when necessary.
