Job Description

GENERAL DESCRIPTION

The Criminal Investigations Division of the Office of the Attorney General is seeking an Administrative Assistant that will provide administrative support or technical program assistance work for the Human Trafficking Unit, Law Enforcement Division. Work involves dissemination information, maintain filing systems, data entry and administrative support work.

ESSENTIAL POSITION FUNCTIONS

  • Prepares, edits, and distributes correspondence, reports statistical data, calls for service, spreadsheets, and documents.
  • Performs general office duties such as filing and maintaining a filing system, answering, and routing phone/emails, answers and routes calls, greets guests, routing and sorting unit mail and ordering and maintaining office supplies.
  • Coordinates meeting and prepares related materials.
  • Compiles and edits data for charts, graphs, and databases and prepares summaries or reports.
  • Manages and maintains schedules and travel arrangements for unit staff
  • Prepare and compile presentation and statistical materials
  • Case management - open and closing unit cases
  • Assist with unit monthly inventory reporting. Verifies location of equipment, tracks inventory information, prepares forms, completes spreadsheets, submits monthly/annual paperwork, and maintains files within the unit.
  • Prepares Public information Act (PIA) responses for the unit
  • Assist division management as needed with special projects
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity




Qualifications:

MINIMUM QUALIFICATIONS

  • Education: Graduation from high school or equivalent
  • Experience: Four years of full-time experience working in the following (or closely related) fields: administrative support, clerical, general office, secretarial, working with law enforcement or criminal justice; may substitute bachelor's degree from an accredited college or university for the required experience on a year for year basis
  • Knowledge of office practices and administrative procedures and criminal justice system
  • Skill in using Microsoft Office
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%


PREFERRED QUALIFICATIONS

  • Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis
  • Experience: Communicating with investigators and personnel from local, state, and federal law enforcement agencies
  • Knowledge: salesforce timekeeping & travel, Case Management, LCMS, Crimestar systems, OAG policies and procedures and criminal justice system
  • Abilities: To work with multiple Criminal Justice Organizations
  • Certifications: Notary Public and CJIS certification
  • Other Language: Ability to proficiently read, write, and speak Spanish
