GENERAL DESCRIPTION
This temporary, part-time position (up to 20 hours/week) is scheduled to end on or before 12/31/2024. This position serves as an HR Assistant for the Human Resources Division (HRD) of the Office of the Attorney General, a dynamic state agency with over 4000 employees. The position assists division management and staff with projects. This position may also assist on a variety of other administrative, human resources, and law-related matters. ESSENTIAL POSITION FUNCTIONS
- Assists with records-management functions of HRD by assisting with tasks that include, but are not limited to, retrieving, assembling, reviewing, redacting, photocopying, and delivering records related to public information requests, subpoenas, discovery, and other requests; working with other sections within HR to prepare records for storage and disposition
- Assists with functions to process personnel actions fully and promptly (e.g., promotions, merit salary increases, reclassifications, transfers) to ensure compliance with agency policy and federal and state laws and regulations
- Responsible for assisting with other projects and administrative functions of HRD that include: drafting error-free letters/emails; drafting memos, agendas, and other communications using Microsoft Word; and responding to telephone calls and inquiries
- Assists with maintaining and reviewing human resources automated systems, files, records, and analyzes reports, as needed
- Assist with leave-related matters, including entering overtime
- Assists with subpoenas and unemployment benefits
- Performs related work as assigned
- Maintains relevant knowledge necessary to perform essential job functions
- Attends work regularly in compliance with agreed-upon work schedule
- Ensures security and confidentiality of sensitive and/or protected information
- Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications:
MINIMUM QUALIFICATIONS
- Education: Completion of at least 30 semester hours at an accredited college or university
- Knowledge of Microsoft Word
- Superior customer service and listening skills
- Skill and ability to communicate well with people of all levels
- Skill and ability to quickly handle multiple tasks, prioritize, and meet deadlines
- Skill and ability to receive and respond positively to constructive feedback
- Skill and ability to tolerate stress
- Skill and ability to compose error-free business letters and emails
- Skill and ability to work cooperatively with others in a professional office environment
- Skill and ability to be honest, reliable, trustworthy, respectful, and professional at all times
- Skill in effective oral and written communication
- Skill in exercising sound judgment and effective decision making
- Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
- Ability to arrange for personal transportation for business-related travel
- Ability to work more than 40 hours as needed and in compliance with the FLSA
- Ability to lift and relocate 30 lbs.
- Ability to travel (including overnight travel) up to 5%
PREFERRED QUALIFICATIONS
- Education: Currently pursuing from an accredited college or university a degree in pre-law, human resources, management, records management, business, psychology, political science, history, English, or a related field
- Interest in pursuing a career in law, human resources, or records management
- Excellent writing skills with a continued interest in improving such skills
