GENERAL DESCRIPTION
The Law Enforcement Defense Division (LEDD) of the Office of the Attorney General represents the state's law enforcement agencies and their officials & employees in civil proceedings in both federal and state court. LEDD is seeking a legal secretary to perform legal tasks in the Law Enforcement Defense Division. Work involves creating initial drafts of legal documents, filing in Federal and State Court, arranging travel, and assisting legal assistants and attorneys with case management.

ESSENTIAL POSITION FUNCTIONS
- Organizes, indexes, and files legal and administrative documents
- Answers the phone, providing general information or routing calls as appropriate
- Coordinates travel arrangements for legal staff and prepares or processes related paperwork and files
- Assists in preparing, proofreading, and editing legal and administrative documents
- Assists in organizing trial and hearing materials.
- Develops, coordinates and successfully maintains record keeping and filing systems for attorneys' cases
- Obtains and follows requirements for proper filing and delivery of documents in state, federal and appellate courts
- Performs general secretarial, administrative and clerical duties
- Performs related work as assigned
- Ability to work in-person in a principle office
- Maintains relevant knowledge necessary to perform essential job functions
- Attends work regularly in compliance with agreed-upon work schedule
- Ensures security and confidentiality of sensitive and/or protected information
- Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications:
MINIMUM QUALIFICATIONS
Legal Secretary II:
- Education: Graduation from high school or equivalent
- Experience: Two years of full-time experience in administrative support or legal secretarial work; may substitute 60 credit hours from an accredited college or university for the required experience on a year-for-year basis
- Knowledge of legal practices and terminology, spelling, punctuation, sentence structure, and grammar
- Skill in the use of computer and office equipment and reference materials
- Skill in handling multiple tasks, prioritizing, and meeting deadlines
- Skill in exercising sound judgment and effective decision making
- Ability to prepare legal correspondence and documents, to take and transcribe dictation, and to maintain files and records
- Ability to receive and respond positively to constructive feedback
- Ability to work cooperatively with others in a professional office environment
- Ability to provide excellent customer service
- Ability to work more than 40 hours as needed and in compliance with the FLSA
- Ability to arrange for personal transportation for business-related travel
- Ability to lift and relocate 30 lbs.
- Ability to travel (including overnight travel) up to 5%
Legal Secretary III - All of the above, PLUS:
- Experience: One additional year of full-time experience in administrative support or legal secretarial work; may substitute an additional 30 credit hours from an accredited college or university for the required experience on a year-for-year basis
PREFERRED QUALIFICATIONS
- Experience: Two years legal secretarial experience in a civil litigation environment
- Experience in formatting and binding appellate briefs
- Experience working in state or federal government
