The Brownstone Building OPD Dental program is dedicated to providing comprehensive Dental Hygiene care, General Dentistry and Oral Maximal Facial Surgical treatments. Staffing includes full time and part time dentists, dental surgeons, and residents in training as well as dental hygienists and dental assistants. A high standard of excellence in personalized dental care enables us to provide exceptional dental services for our patients. We offer a full range of services, Monday through Friday 8:15am-4:30PM.
Services include the following:
General Dentistry (for both adults & kids), Dental Cleanings & Exams, Cosmetic Dentistry, Crowns & Bridges, Fillings, Root Canal Therapy, Extractions, Bonding, Fluoride Treatment, Teeth Whitening, Dental Implants, Dentures, and Periodontal treatments.

Job Summary:
The Office Coordinator provides oversight of the daily administrative and patient flow operations of the Dental Clinic; and performs a variety of administrative functions including: The role is responsible for providing outstanding and professional customer service to ensure efficiency and promote a positive patient experience.
Job Responsibilities :

1. Serves as primary resource to office staff on administrative matters including, but not limited to: patient flow, office operations, customer service, health insurance, billing/coding requirements, and EMR functionality and utilization.
2. The Office Coordinator assists the clinical and medical staff in organizing and triaging care by accurately relaying pertinent patient information, adjusting the patient schedule as needed, scheduling and coordinating urgent care with other resources within practices, and releasing health information in accordance with HIPPA requirements
3. Responsible for processing all new patients into the practice, maintaining contact, and acting as the patient's primary resource and contact as they are brought into the practice
4. Maintains office equipment, orders supplies, and maintains inventories. Ensure that all work areas are organized and that all areas (especially the patient care area) are cleaned and maintained
5. Communicate with staff regarding new policies and procedures, changes in billing and insurance policies, and any other issues related to the day-to-day operation of the practice
6. Maintains a working knowledge of all office functions and provides direct support as needed.
7. Performs other related duties as necessary or assigned by the Dental Clinic Practice Manager/Nurse Manager/Director.
8. Provides and coordinates efficient phone coverage to ensure timely responsiveness for patients.
9. Acts as a continuous improvement and transformation specialist analyzes front desk processes, office procedures, and system dashboards, and assists in optimized role base and workflows via EPIC and Dentrix to address process weakness, enhance productivity, and improve patient care and practice management
10. Able to collaborate with multiple departments, schedule testing, obtain insurance authorizations, and schedule procedures. Attends regularly scheduled meetings and actively discusses related activities, communications, updates, and issues.
11. Maintains HIPPA, regulatory and safety compliance, when opening and closing of the office

12. Maintains HIPAA practices in the front desk area.

Qualifications:

  • Associate degree or equivalent knowledge and skills obtained through a combination of education, training, and 2 years of work experience in an Ambulatory setting. Bachelor's Degree preferred.
  • Successful EPIC and Dentrix training will be required.
  • At least 2 years of experience in registration, billing, coding, and scheduling of medical procedures, in both outpatient and inpatient settings as well as general office practice experience and basic workflows.
  • Experience in Ambulatory Healthcare setting with front-end and back-end office processes involving patient scheduling, registration, information flow, billing, coding, and office systems preferred.
  • English, proficient in Microsoft Office, and Outlook.
  • Excellent verbal communication skills
  • The ability to communicate in other languages is highly desirable
